OFFICERS' DUTIES
LIBRARIAN

·  A great deal of work five times per year.

·  Required personal attributes: Organizational skills, meticulousness, no fear of confrontation, at least two free periods per week.

BEFORE SCHOOL STARTS

·  Assign all members of the ensemble a score number and ensure that each student has a folder. Purchase folders in the summer and distribute when relabeling folder slots.

·  Acquire 2 sets of labels from Mrs. Rollo and attach them to folders and cabinet.

THROUGHOUT THE SCHOOL YEAR

·  Inform students of their responsibilities regarding printed scores. Music scores are the lifeblood of what we do. They are very expensive and should be treated with extreme care and respect. Scores should be:

o  stored in pockets of student folders after they have been closed properly.

o  written ONLY in pencil.

o  repaired IMMEDIATELY if damaged.

o  opened and closed only. Never fold or roll scores.

o  erased and taped (if needed) before being returned.

·  After every student has a folder number and a folder (and not before) prepare and distribute any scores that are ready for distribution.

·  Input any remaining score information or changes into the Music Library Database.

o  New repertoire books or ordered repertoire for ensembles should also be added to the Music Library Database

·  Number and distribute all scores to be performed. All scores should be:

o  stamped with “Clarence High School Choirs” stamp.

o  numbered individually with automatic number stamp.

o  stamped with library identification number.

o  entered into the library database.

·  Replace any lost or damaged scores either by renumbering or ordering new copies.

·  Design a form to be given to students informing them of missing scores, folders, etc., the price of those items and when payment is expected.

·  Update database (if necessary) containing all solo pieces, composers, NYSSMA level and in which books they can be found.

·  If necessary, distribute all black concert folders in appropriate folder slots.

·  Be an example for other members at all times. Get to know all members of the ensemble closely and make welcome those members who are new to the organization.

DAY AFTER CONCERTS

·  Collect and put away all concert folders. It is YOUR responsibility to have EVERY black folder returned.

·  Collect any scores that will not be used again. Inform students of their responsibilities for score quality andenforce this policy.

·  Return scores to music library, or organization from whom the scores were borrowed.

BEFORE LEAVING FOR THE SUMMER

·  Be sure all scores are accounted for. Director will work with you to collect any delinquent payments, etc.

·  Put away all scores belonging to Clarence High School.

·  Consolidate all scores that have been borrowed. Director will return these scores.
