ADMINISTRATIVE ASSOCIATE II

GENERAL RESPONSIBILITIES

Provides administrative secretarial work that provides support to a director; responsible for the overall smooth operation of an office by supervising other clerical and/or classified personnel.

ESSENTIAL TASKS

Develops complex correspondence, reports, minutes, lists, forms, tables, memorandums, etc.

Places and receives telephone calls/messages.

Records staff attendance; collects and reviews salary vouchers.

Prepares monthly reports and reimbursements.

Records annual, sick and personal attendance.

Obtains, gathers and organizes pertinent data as needed, and puts into usable form utilizing work

processing and spreadsheets.

Assists the Department Head in compiling and completing budget reports, time sheets, etc.

Renders advanced level administrative assistance to the Department Head.

Maintains confidential files of correspondence, forms, reports, etc.

Types complex correspondence, reports, minutes, lists, forms, tables, memorandums, etc.

Performs related work as required.

KNOWLEDGE, SKILLS AND ABILITIES

Advanced office technology skills. Thorough knowledge of commonly accepted business practices. Ability to organize and assist in a wide variety of projects. Ability to answer inquiries and assists the general public in a courteous manner. Superior knowledge and expertise in the operation of personal computers with word processing and spreadsheet applications. Ability to supervise a small group of clerical/secretarial personnel possessing a wide variety of skills Ability to understand complex oral and written instructions.

EDUCATION AND EXPERIENCE

High School Diploma. Extensive secretarial experience.

A comparable amount of training and experience may be substituted for the minimum qualifications.

PHYSICAL REQUIREMENTS

Must have the use of sensory skills in order to effectively communicate and interact with other employees and the public through the use of the telephone and personal contact as normally defined by the ability to see, read, talk, hear, handle or feel objects and controls. Physical capability to effectively use and operate various items of office related equipment, such as, but not limited to a, personal computer, calculator, copier, and fax machine. No significant climbing, stooping, kneeling, crouching, reaching, standing, walking, pushing, pulling, lifting, fingering, grasping, talking, repetitive motions.
