The discussion started with Cindy presenting her two examples of Bound-With cases.

CASE 1. Sub-series in serials: some issues of sub-series of the main series “University of North Carolina extension bulletin. Library extension publication” are bound together according to the main series numbering.

Cindy used the “Bound-With” procedure and created a host MFHD with 852 $z note listing the various sub-series volumes (including the volume number) and monographic titles bound in the single physical unit.

After lively discussion, the committee concluded that we should use “Shelved by the main series” procedure. See Example 9-8 in

rather than use the “Bound-With” procedure. As an example, on one of the sub-series analytics, 2 MFHDs would be created. The first MFHD records the volumes that were not bound (or classed) with the main series; the 2nd MFHD uses the multipart volume holdings "shelved as" technique to indicate the shelf position of each bound-with volume.

Circulation information would only be accessible at the main series level. Although item records of classed-together fully analyzed series are normally linked with each analytic record, in this case, it seems preferable to link the item records to the cover record (main series). We could also add a public note to each bound-with analytic “$z Check item status or place requests through main series X353 N8L …”

CASE 2. Series title change: The 1970-1971 issues of earlier title “Annual report” are bound-with the 1972-1975 of later title “Rockefeller Brothers Fund annual report”.

This was a straightforward case using the draft document procedure. Cindy explained the addition of “” (quotation marks) for titles in the 866 note to make them stand-out more. The committee agreed that using quotation marks to highlight the title in the referencing notes improved legibility and this will be incorporated into the draft.

The other points made in the meeting were:

·  #4. of Procedure: the sentence needs to be rephrased for clarification to make sure to create an item record for the host title, and also add “and if appropriate” after “If the volume circulates” for the case barcodes are not used.

·  Steven will add a section on procedures for unlinking bib records to account for situations when the macro links the wrong record to the host (i.e. some of MFHDs were still open when the B/W Macro ran, and the Macro linked the bib records with the same id numbers).

·  Steven will also add instructions to delete 014 field(s) for unlinked bib id numbers.

·  Multiparts and Serials EXAMPLE 1 Single part host/multipart guest: 2nd MFHD example should be “UNLINKED” instead of “LINKED”.

·  Also the captions of OPAC DISPLAY (Brief view) for the (MULTIPART) GUEST: examples of 2nd location is “Library has:” and should be “Notes:”.

·  Cecile pointed out that the OPAC displays of EXAMPLE 2 (Serial title change) are very confusing. Eileen agreed that two holding information for the same location might be confused by library users. Steven thinks mentioning the same issue (i.e. v.105) twice in different holding of the same record would make both library users and staff think 2nd copy exists, and it’s Voyager’s limitation. Eric suggested adding a public note to refer to a specific call number of “Bound-With” holding below (or could be in front all depending on alphabetical order of location?). Such as:
