JOB DESCRIPTION

Position Title:Administrative SpecialistGrade: 5

Reports to:Business Development CoordinatorEEO Class: 5 (Admin)

Position Summary: Provides administrative support for SNAP’s Women’s Business Center, including reception, document preparation, recordkeeping, and bookkeeping duties. Provides excellent customer service to both internal and external customers. Provides services to ensure smooth operation of administrative functions.

Principle Duties and Responsibilities:

  1. Performs variety of administrative and clerical duties including but not limited to answering phones and greeting office visitors, filing and record keeping, and assembling packets of information and materials.
  1. Provides administrative support to the Women’s Business Center, greeting visitors, providing hospitality, giving tours, assisting visitors in finding information electronically and in library, intake and tracking of visitors.
  1. Coordinates class schedules, meetings and meeting space.
  1. Maintains accurate and inviting information on Financial Stability websites.
  1. Responds to requests for information by providing general program information and/or referrals to appropriate agencies. Maintains accurate records of financial and social services and phone numbers for information and referral services.
  1. Supports Development activities by tracking the course of applications and contracts, making sure they are signed off by the appropriate parties, preparing thank you letters, and performing related activities in a timely and accurate manner.
  1. Processes incoming and outgoing correspondence, mail and packages on a timely basis.
  1. Maintains accurate records of social services and phone numbers for information and referral services.
  1. Maintains conference room(s) calendar.
  1. Conducts office opening and/or closing activities, ensuring building security. Reports any security or maintenance issues to supervisor or building coordinator.
  1. Helps ensure administrative offices are clean and neat, including conference room, copy room, break room, and kitchen. Reports maintenance issues and supply issues to designated staff.
  1. Operates multi-line phone, fax machine, copy machine, and other office equipment.
  1. Work with coworkers and volunteers to promote a positive, respectful and productive working environment, while protecting client confidentiality and dignity.
  1. Within the stated context of the stated principle job duties, serve as an ambassador of SNAP’s mission and values.
  1. Completes assigned projects and performs related duties as needed or as situation dictates and looks for opportunities to keep busy; cleaning, offering help to others etc…
  1. Provides excellent customer service at all times as well as helps to grow the customer service culture within the agency.

Requirements:

Education and Experience

  • Required: High school diploma or equivalent and at least three years experience in a clerical position, preferably in a social or financial service setting
  • Preferred: High school diploma or equivalent and at least five years’ experience in a clerical position, preferably in a social or financial service setting;conversant in Spanish

Knowledge, Skills, and Abilities

  • Ability to empathize with and advocate for low-income households, and to maintain confidentiality with personal information
  • General office skills, including working with multi-line phone system, computer operation, filing, adding machine and basic bookkeeping
  • Excellent grammar and punctuation skills with the ability to edit for accuracy and presentation
  • Strong communication and interpersonal skills, with emphasis on effectively working in a team environment and with a diverse population
  • Computer proficiency with MS Office, database, Capsys, Sharepoint and desktop publishing applications required, with aptitude and ability to learn related technical skills
  • Ability to follow directions and work effectively in an open, fast-paced, high-stress setting with frequent interruptions
  • Good planning, organization and critical thinking skills, including ability to prioritize and communicate questions and concerns
  • Ability to work independently, using initiative and judgment to resolve problems and ensure workflow is appropriately addressed in a timely manner

Work Environment/Physical Activities:

Work is conducted in an office environment, in a front-desk location that can be highly stressful at times. Some lifting of office materials and deliveries may be requires. May deal with difficult people, sometimes in crisis situations.
