Desktop Emergency Plan Review

This document details a review of the Emergency Plan, Business Continuity and Op’s Plan for Chain Bridge Forge. To test the plan a series of scenarios have been devised that would evaluate the effectiveness of these documents and corrective action.

Each Director has reviewed this analysis.

Scenario

A fire has started on the wood flooring in front of the anvil. The fire is not spreading due to the coating on the floor. The coating will give 15min protection. However exit through the split door is impossible and exit through the community room is also impossible.

Action taken:

The Duty Manager will alert all the guides and the Blacksmith and say that a “FisherDodd” has occurred. The volunteers will escort any visitors out of the Forge using the available exits and direct them to the green space outside 41, High St. The Duty Manager will then use the fire extinguisher to put out the fire.

The Forge staff will put on yellow tabards to be found in the book cases in the community room.

The Duty Manager will take the names and addresses of the visitors and ask them if they could describe the incident. The duty manager will record this information in the diary.

The Duty Manager will then assess the damage and complete an incident report which is located in the cupboard in the Shoeing Shed. The Duty Manager will then inform the Directors. The Forge will be closed.

The Directors will then assess the damage and inform the insurer as required an effect the repair.

Learning Points;

1)Ensure all external doors are unlocked when the Forge is open to the public.

2)Ensure Yellow tabards are available in both the Community room and Shoeing shed.

Scenario

A visitor is severely burned or injured while enjoying a taster day.

Action taken:

The Duty Manager will alert all the guides and the Blacksmith and say that a “FisherDodd” has occurred. The volunteers will escort any visitors not related to place of safety in either the shoeing shed or community room. If the injury is life threatening then the visitors will be escorted out of the Forge and direct them to the green space outside 41, High St.The Duty Manager will offer the person with the burn or their family use of the First Aid kit and or Burns First Aid kit which is held in the toilet.

The Duty Manager will ring “999” and ask the appropriate service. The Duty Manager will stay with the injured party.

The Forge staff will put on yellow tabards to be found in the book cases in the community room.

Guides will then be asked to 1) take the names and addresses of the visitors and ask them if they could describe the incident. The guide will record this information in the diary. 2) A guide will be asked to await the arrival of the emergency services and will then direct them to the injured party. 3) The volunteers will provide crowd control if required.

The Duty Manager will then assess the damage and complete an incident report which is located in the cupboard in the Shoeing Shed. The Duty Manager will then inform the Directors. The Forge will be closed.

The Directors will then assess the damage and inform the insurer as required an effect the repair.

Scenario

Structural / Fire damage has caused severe damage to the fabric of the building during opening times.

The Duty Manager will alert all the guides and the Blacksmith and say that a “FisherDodd” has occurred. The volunteers will escort any visitors out of the Forge and direct them to the green space outside 41, High St. The Duty Manager will then ring “999” and request the appropriate emergency support.

The Forge staff will put on yellow tabards to be found in the book cases in the community room.

The Duty Manager will take the names and addresses of the visitors and ask them if they could describe the incident. The duty manager will record this information in the diary.

The Duty Manager will then assess the damage and complete an incident report which is located in the cupboard in the Shoeing Shed. The Duty Manager will then inform the Directors. The Forge will be closed.

The Directors will then assess the damage and inform the insurer and SHDC.

Note SHDC insurers will be responsible for the remedial action to the building.

The Directors will negotiate with the insurers and SHDC to agree remedial action and repairs.

Note: The Forge has cover for loss of earnings

Scenario

The Duty Manager will alert all the guides and the Blacksmith and say that a “FisherDodd” has occurred.. Geoff Dodd also lives opposite the forge. A Director will receive a call from the emergency services. He will ring the other Directors and inform them of the occurrence. The Directors as needed will attend the incident. The Directors will record the incident and take photographs together with contact details of the Emergency Services.

The Directors will organise for the building to be made secure.

The Directors will then assess the damage and inform the insurer and SHDC.Note SHDC insurers will be responsible for the remedial action to the building.

The Directors will negotiate with the insurers and SHDC to agree remedial action and repairs.

Note: The Forge has cover for loss of earnings

Scenario

The Forge IT systems and online resources are lost.

The Directors will use the backed up copies of the data to re-instigate the system. These backed up copies are held remote to the Forge.
