The primary function of the Administrative Support Specialist is to provide the day-to-day administrative needs for the entire organization, and to provide a high level of customer service in support of a constructive team atmosphere to all internal and external customers while performing his/her responsibilities.

The Administrative Support Specialistwill have responsibility for the following:

  • Responsible for reception and telephone triage in a professional manner consistent with the customer services guidelines of the company;
  • Maintain daily staff attendance calendar, and all public calendars, etc.
  • Process incoming and outgoing mail, tracking packages and shipments, and providing documentation for billing;
  • Provide support with internal and external communications in sending, receiving and distributing messages and correspondence;
  • Typing and maintenance of various lists;
  • Purchase, receive and maintain office, meeting, facility and kitchen supplies;
  • Meeting preparation, including conference room schedules, material preparation, presentation of refreshments, accommodations, etc.;
  • Plan and organize the monthly celebrations;
  • Organization and maintenance of administrative, facility and general files in conjunction with other Administrative Support Team, and backup for filing for legal and as needed for accounting;
  • As requested, provide assistance to the Administrative Support Supervisor to troubleshoot and resolve maintenance problems, i.e., contact landlord, equipment service centers, etc.;
  • General housekeeping of the facility’s common areas including, but not limited to the kitchen/break room areas and conference rooms, in conjunction with the Administrative Support Team and other miscellaneous duties as needed;
  • Run errands as requested;
  • Routinely use standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines; and
  • Other administrative tasks and projects as requested

Job Requirements:

  • Associate’s degree or equivalent experience
  • Two years of general office experience
  • Experience with Microsoft® Office products
  • Flexibility in adapting to changing situations
  • Timely and regular attendance
  • Professional telephone skills
  • High level of customer service skills
  • Ability to multi-task and maintain high quality of work
  • Excellent verbal and written communication skills
  • Excellent interpersonal skills

  • Physical requirements include, but are not limited to, repetitive movement of wrist, hands, and fingers, ability to lift 25 pounds and normal levels of speech, hearing and vision.
