Job Title:Theatre Administration Assistant(P/T)

Salary: £14,625 per annum (pro rata)

Hours:20 hours per week

Length of Contract:Fixed termuntil April 2018

Purpose of Post

To support Barbican Theatre and its staff in the successful delivery of its core objectives, assisting with sales, administration and marketing tasks on a daily basis per the requirements of the business.

Tasks

  • Be the first point of contact for the public through telephone enquiries and in-person sales, and to maintain a high level of customer care
  • Support staff in administration relating the day-to-day business of the company e.g. printing, filing and minute taking
  • Assist in the sale of tickets and help maintain our Spektrix ticketing databases
  • Support the Marketing & Communications Manager in utilising Barbican Theatre’s website, social media and email channels to maximise sales and audience engagement
  • Monitor e-mail campaigns and social media and report findings to Marketing Manager
  • Maintain and refresh marketing materials in the theatre and B-Bar public spaces
  • Attend and minute weekly operations meetings, and attend other meetings as required
  • Adhere to company policies including Health & Safety, Equality, Data Protection and Safeguarding
  • To undertake any other duties as required from time to time by line managers

Personal Specification

Essential / Desirable
Education and Qualifications / 5 GCSEs at grade A-C or equivalent including English and Maths
Experience / Experience of working in an office environment and using IT systems
Cash handling and reconciliation
Experience in customer facing role(s) / Previous experience of marketing
Experience of using CRM or booking systems
Minutes and note-taking experience
Skills / Experienced in using Microsoft Office, (including Word and Excel) and Gmail
Customer service experience
Excellent communication skills, including telephone, email and face-to-face / Experience of using electronic databases
Some experience of using Adobe Photoshop
Personal Qualities / Able to work under pressure, deliver to timescales and manage priorities
Willingness to learn and take instructions
Team worker, able to work well with colleagues and customers
Confident in using own initiative to undertake a variety of tasks / Have a desire to work within the arts
Strong interpersonal and communication skills
Proven organisational and administrative skills
Good at networking and meeting new people

Terms and Conditions of Employment

Salary: £14,625 per annum (pro rata)

Contract:Fixed Term until April 2018

Hours of Work:20 hours per week

Probationary Period:1 month

The proposed hours for this post will be from 12pm – 4pm Monday to Friday, although there may be some flexibility around this. On occasion, the post holder may be required to undertake some evening and weekend work; additional hours will not be paid as overtime, but will entitle staff to equivalent Time Off in Lieu.

Holiday Entitlement: Full time staff members are entitled to 25 days per holiday year (April to March), plus statutory Bank Holidays. Part time staff holiday entitlement is calculated equivalent to that of full time staff.
