JOB DESCRIPTION
Job Title:Student Activities Coordinator
Place of Work:Students’ Union, based at Magee Campus, but will have a two-campus remit, meaning frequent travel to Coleraine. There may be occasional travel to the Belfast and Jordanstown campuses.
Reporting to:Student Engagement Manager
Hours:Post is on a two year fixed contract, Mid-August to Mid-June. Normal hours shall be 36.5 per week.
Salary/Wages:£19,093 - £20,792 pro rata.
Purpose of Job:To support the student societies at Ulster University Students’ Union.
To promote the benefits of leading societies and encourage the establishment of new societies.
Increase the membership of societies and support an increase in society activities.
Organise, support and facilitate UUSU Activities and Events.
KEY RESPONSIBILITIES
The postholder will be directly responsible to the Students’ Union through the Student Engagement Manager particularly for:-
- Supporting and developing student Societies:-
- Managing records of all societies, their officers, membership, activities and equipment.
- Working with societies in promoting and developing their activities to students and investigating future opportunities for society activity and growth.
- Facilitating student societies’ involvement in Freshers’ Fayres.
- Advising the relevant elected officer on the allocation and administration of site societies’ budgets.
- Encouraging and supporting societies to create individual development plans and hand-over materials to promote sustainability.
- Monitoring and approving societies’ publicity and promotional material to ensure compliance with statutory legislation, University regulations and Union policy.
- Supporting and guiding societies’ officers and committees in their fundraising activities.
- Supporting and developing the STAMPS (Societies Training and Merit Participation Scheme) accreditation scheme for societies.
- Leading and delivering on the annual US awards in conjunction with the Student Activities Coordinator, Jordanstown/Belfast.
- Supporting and encouraging societies’ officers to take an active role within UUSU’s democratic structures.
- Developing links with University Schools and Departments to maximise course based and halls of residence society events.
- Developing and implementing training and accreditation for students involved as volunteers and leading student activities:-
- Coordinating training and induction for society leaders and volunteers.
- Providing operational support for the above groups and be their first point of contact, ensuring regular communication with these volunteers.
- Managing accreditation for students, either through the University’s EDGE Award, STAMPS and other suitable external awards.
- Event Planning and Organisation:-
- Developing and delivering a programme of Students’ Union events and activities on each campus which will encourage student interaction and engagement. These will take place at key times in the academic year such as Freshers, Christmas and end of Semester 2.
- Working with key stakeholders internally and externally to provide Students’ Union events.
- Working in conjunction with UUSU marketing to ensure events and activities are well promoted and attended.
- Assisting with the coordination of overall Students’ Union events, e.g. UUSU Sports Awards and Learning and Teaching Awards.
- Health and Safety:-
- Taking responsibility for the health and safety of student groups, ensuring all events are risk assessed, and comply with relevant UUSU health and safety guidelines.
- Reporting:-
- Providing on-going reports to the Student Executive and an annual report to the Trustee Board on student engagement with all of these areas.

The Student Activities Coordinator will:-

(ii)Set high standards of integrity, punctuality, accuracy, politeness and professionalism by personal example.
(iii)To undertake such other duties as instructed as are within the scope and spirit of the job purpose, the title of the post and its grading.
(iv)Any information and data provided to the Students’ Union and used directly or indirectly in your role shall remain at all times the property of the Students’ Union.
