Job Title: Site Maintenance & Facilities Co-ordinator

Job Description

Background: The Site Maintenance & Facilities Co-ordinator will bethe first point of contact for all things related to the two Norwich based sites with respect to infrastructure and the supporting services required.

Job Purpose:The primary focus of role will be responsible for co-ordinating, managing and implementing the necessary site facilities and operational services such as security, building and equipment maintenance, contractors,utilities etc required to keep the sites running smoothly.

Main duties:

  • Inspecting buildings’ structures to determine the need for repairs and renovations
  • Carry out general maintenance tasks and building repairs when necessary
  • Plan and co-ordinate all installations,renovations and refurbishments from a practical perspective in terms of allocating and managing space within buildings in consultation with the Director Team
  • Oversee and agree Service Contracts with providers for services including, security, plumbing, electricians, office cleaning, external window/gutter cleaning, heating, waste removal, air conditioning, equipment etc
  • Supervise and co-ordinate the appropriate specialist tradesman/contractors on site with respect to servicing of equipment and more complex refurbishment projects
  • Purchase and erect additional office equipment such as desks/chairs when required
  • Managing the upkeep of equipment and supplies to meet Health & Safety standards
  • Support the Health & Safety Co-ordinator with site health & safety tasks when required to ensure the site complies with government regulations and environmental, health & safety standards
  • Review utilities consumption ensuring there is no disruption to the business while striving to minimise costs
  • Ensure that basic facilities such as water, heating, boilers and electricity are well maintained and co-ordinate services and repairs when required
  • To manage the site security process for both Norwich sites including the upkeep/programming of Burglar Alarms and being the on-call first point of contact. Managing the Key register and allocation of building keys to new staff and Contractors. Ensure CCTV is maintained on-site.
  • To ensure that the Fire Alarms are maintained, checked and tested in consultation with the Health & Safety Co-ordinator.
  • Arrange site signage and undertake general maintenance e.g smoking shelters/bike shed etc
  • Support the Health & Safety co-ordinator with additional insurance policies for the site
  • To undertake vehicle checks on company vans and co-ordinate any maintenance/services that are required
  • Ensure the appropriate licences are renewed/purchased on behalf of the company e.g.TV, PRS, Operators licence etc

Experience of co-ordinating tradesman with some experience of sourcing and negotiating service contracts (D)

A working knowledge of Health & Safety practice such as electrical safety, working from heights, vehicle movements, etc (D)
