Job Title Events Coordinator

Hours 37.5 to include evening and weekend work in order to meet the

business need of the role

Reporting to Events Manager

Overall aim of the role

Supporting the Events Manager to deliver Cransley Hospice’s recently developed events portfolio which include our Summer Ball, Bubble Rush, and flagship Road Race. To support the further development of the events programme with a view to growing income.

Key responsibilities of the post

  • To be the first point of contact for those interested in taking part in an event, responding to enquiries quickly and efficiently.
  • To ensure key supporter information is captured being mindful of segmentation and future marketing opportunities.
  • To maintain communication and build relationships with event participants to aid motivation, encourage sponsorship and promote other Cransley-led events.
  • Support the Fundraising Team to meet agreed sign-up rates, manage entries, communicate event day instructions, and thank supporters.
  • To create agendas and collate minutes at event committee meetings.
  • Liaise with the Admin Team, to secure suitable event volunteers,carry out an adequate briefing prior to the day, and to maintain the relationships to ensure they feel valued and enjoy the events they are supporting.
  • Work with the Event Manager to maintain and develop relationships with key contacts.
  • Lead on small Community-based events; identify events that will generate a good ROI, secure venues/suppliers and sell tickets.
  • Work with the wider Fundraising Team to promote events to existing supporters.
  • Support the Event Manager and Marketing Manager to identify opportunities to promote events to new relevant audiences.
  • Manage event village trader enquiries and applications.
  • Attend all Cransley-led events and support Event Manager to deliver a successful event, help to set-up, support our participants, and packing away afterwards.
  • Secure donations and gifts in kind to support events.

Health and Safety

  • Contribute to risk assessments which form the Event Management Plan for each event.

Additional Responsibilities

  • To carry out any other duties as requested by the Events Manager and Director of Income Generation.
  • There is a requirement to comply with all of the Hospice policies, procedures and guidelines, including those relating to Health and Safety, Confidentiality and the Data Protection Act

Additional Information

  • The post holder is required to work evenings and weekends to meet business need and will receive TOIL (time off in lieu) as agreed with the Events Manager.
