Rugby & Northampton Athletics Club: General Committee Meeting

Present: Mark Exley, Angela Sumnall, Terry Egan, Joe Horsley, Ben Townsend, Richard Blenkinsop, Tim Merrey, Terry Akiens& Paul Cooper

1.  Matters arising

.

1.1  Officials Polo Shirts: delivered and being distributed. Limited number of extra shirts agreed.

1.2  Membership Fees: amended to reflect changes agreed at AGM.

1.3  Constitution: signed at meeting following agreement at AGM to go on to website.

1.4  Rugby Clubhouse.

1.4.1  Insurance Claim: still unclear whether new canopy being provided or existing one repaired.

1.4.2  Lease: draft needs a number of amendments to reflect clubs requirements. Discussion with Council needed to finalise.

1.4.3  Track: repairs outstanding to bring back to back to Standard. 4th May match date swapped with Birchfield so 6 July date when all has to be completed.

2.  Northampton Track

2.1  All members have been advised that track closes on 13 March with demolition starting soon afterwards. PR being arranged to record last training day at track.

2.2  Alternative facilities being provided with NBC arranging use of car park in Walter Tull Way (with lighting and portacabin). Vets using Cricket Club facilities as part of training at Abington Park. Throws group at Campion School, Sprints groups using Rugby track.

2.3  Use of Rugby track on Wednesdays being confirmed. Storage of equipment being provided in container from NBC

2.4  Planning permission for new track – close to submission.

3.  Finance

3.1  Subscriptions comparison chart circulated. Projected lower income than last year due to Northampton Track etc.

3.2  February 2014 transactions: reviewed and noted.

3.3  Statement of accounts: only covers first month of year so noted.

3.4  Budget for 2014: reviewed in detail.

3.5  Budget holder’s authority to spend: view needed at next meeting on how much individual budget holders were allowed to spend, from their budgets without committee approval.

3.6  Coaching courses: updated report on who has attended what provided.

4.  Membership

4.1  New members proposed and 30 accepted by the committee One prospective member had cancelled membership application due to injury.

4.2  Member stands at 1045 members, Rugby 534 and Northampton 511.( Ladies running group 172) Qualified coaches 92, qualified officials 21.

4.3  Still a few members who haven’t renewed outstanding for 4 months. Total of 84 outstanding memberships renewals.

4.4  One letter of resignation from Barbara Parkinson.

5.  Competition

5.1  National XC at Nottingham

5.2  Best performance U13 girls with Amy Walker 21st. Team 7th. Seniors Emily Waugh 38th. Senior Men’s Club Title Seb Palmer, Women’s Club Title Roseane Andrews

5.3  Inter Counties Championship

Best Performance : George Goodwin 15th Jacob Allen 71st senior men, Emily Waugh 74th Senior Women

13 Athletes from seniors and U20s.

5.4  England Athletics Indoor age group – tough environment

Reco Ewer in finals of both 60m and 200 m 7th/6th in UK! Other good performances and very high standards/

6.  Governance

6.1  Constitution: Signed at meeting and now in place

6.2  AGM/EGM: reviewed and no issues.

7.  Road Races

7.1  Draycote 5: now enough marshalls (just) to ensure race will take place.

7.2  XC for next season, still looking into use of Princethorpe..

8.  Communications

8.1  Website: TM said all OK apart from a hosting problem that had taken the site down for today! Need for the about us section to be more easily found.

8.2  PR Support and Sponsorship: Sports Media doing good work especially at present with closure of Sixfields. Also getting updates in local press on regular basis. Will grow as track season starts. Getting opportunities for local companies to be involved in sponsoring teams

9.  Welfare

9.1  NIL.

10.  AOB/Correspondence

10.1  Community Club Proposal: Proposal discussed in detail and meeting to be arranged. Transfer of Star Track and Saturday club not acceptable and will be resisted.

Concern over some of those concerned in setting up the new club remaining members of R & N with conflicts of interests problems arising. JH to organise meeting asap

10.2  Men’s running group: Agreed club will fund coaching course but if those trained leave within one year they will be expected to refund course fees. Assumed this will stay part of R & N AC.

10.3  Birmingham League AGM: agreed we will host one race next season as long as a venue can be found.

10.4  England Athletics Council: votes through Northants Network..
