Subject: MLA Archivist Quarterly Report to MLA Board of Directors, February–April 2017

I. REPORT DATE – 24 April 2017

II. NAME OF COMMITTEE/OFFICE – MLA Archivist

III. MEMBERS/OFFICER – Melissa E. Wertheimer

IV. BOARD ACTION REQUIRED –

Please discuss the possibility of implementing official MLA email addresses from the MLA domain name (hosted by Google) for board members and special officers. I recommend this practice in order to streamline current and future e-records provenance, schedule regular ingest into UMD’s e-records repository, separate individuals’ work and MLA emails, and allow for seamless transitions during member turnover or job re-location. These email addresses would be passed from outgoing to incoming individuals yet remain outwardly consistent to the public. The email addresses can be set to automatically forward to any email address the user would like and simultaneously serve as a collecting space for all MLA correspondence.

Examples for adoption:

-  MLA Presidents:

-  MLA Recording Secretaries:

Because this practice is currently in use for the editor of Notes, the MLA Placement Officer, the MLA Archivist (see V. below), and other individuals in MLA, I highly recommend a unified approach to be adopted by all board members, special officers, and committee chairs.

V. BRIEF SUMMARY OF ACTIVITIES

-  Outgoing MLA Archivist Sandy Rodriguez updated new MLA Archivist about procedures, guidelines, and projects.

-  New MLA Archivist created an official email address, google drive, and google voice phone number: and 608.205.8508.
