Reach and impact / Provides logistical support for two complex, large scale events per year:
  The International Fundraising Skillshare is attended by up to 200 senior Red Cross Red Crescent fundraisers from around the world
  The Fundraising Conference is attended by up to 300 UK fundraisers from British Red Cross.
Responsible for the recruitment and support of a team of 10 volunteers.
Supports the Fundraising Induction for up to 30 new starters in the division every quarter.

Context

The British Red Cross helps people in crisis, whoever and wherever they are. We are part of a global voluntary network, responding to conflicts, natural disasters and individual emergencies.

We enable vulnerable people in the UK and abroad to prepare for and withstand emergencies in their own communities. And when the crisis is over, we help them to recover and move on with their lives.

Within the UK, the British Red Cross operates through 33,000 volunteers and 2,800 staff. The fundraising division raises in excess of £110m p.a. and employs over 160 fundraising staff and 550 Retail staff across the country.

The fundraising strategy department plays a key role in the fundraising division. It co-ordinates and manages business planning and performance monitoring to support the implementation of the corporate strategy. The department leads on emergency appeals management, supports projects for initiatives that transcend the remit of any single fundraising team and provides a communications, integration and co-ordination role across the five fundraising and trading teams. The department initiates and co-ordinates research and evaluation of fundraising activities, and maximises performance through the identification and introduction of new ideas, effective ways of working and income opportunities for the division and the Red Cross Red Crescent Movement.

Scope

The post-holder will provide logistical support to the development and implementation of two key events:

The International Fundraising Skillshare will take place in London in September annually and will be attended by around 180 fundraising experts from around the world. The aim is to share knowledge, skills and fundraising techniques with colleagues from the Red Cross Red Crescent Movement.

The British Red Cross Fundraising Conference provides an opportunity for the whole division to come together to network, learn, and be inspired about the organisation and motivated about fundraising. The next event will take place in London in March 2015 and will be attended by around 300 participants.

Overall Purpose of the Post

To provide logistical support to the International Fundraising Skillshare and the British Red Cross Fundraising Conference to help ensure that both events run smoothly. The post-holder will liaise with venues, co-ordinate volunteers and organise catering, accommodation and AV requirements.

Main Duties and Responsibilities

1.  Ensure that the venue, catering, accommodation and facilities for the International Fundraising Skillshare and British Red Cross Fundraising Conference meet the requirements of stakeholders

2.  Provide administrative support to the project groups and planning groups including setting up meetings and teleconferences, preparing agendas, taking minutes and circulating papers

3.  Recruit, brief and co-ordinate a team of volunteers to assist throughout the events

4.  Maintain systems and databases for managing session suggestions, registrations and session sign ups

5.  Assist with the management of the conference and Skillshare email accounts, responding to enquiries from delegates, speakers and other stakeholders in a timely manner

6.  In liaison with the venues, organise catering and accommodation for delegates, staff, volunteers and guests, including ensuring that any dietary or access requirements are taken into consideration

7.  Co-ordinate technical and AV requirements including organising or hiring equipment such as radios, laptops, microphones etc.

8.  Ensure that necessary materials are printed, collated and transported for each conference, including delegate packs, signage and branding

9.  Set up and manage the production offices including IT, equipment, materials and catering

10.  Lead on the planning and logistical co-ordination of an evening hospitality event at Skillshare and the Fundraising Awards at the Fundraising Conference

11.  Assist with and contribute to the event evaluations

12.  Support other Fundraising Strategy projects as required, including the quarterly fundraising induction

13.  Any other reasonable duties as required by the Fundraising Co-ordinator, Fundraising Project Manager or Head of Fundraising Strategy
