Admissions Cultivation and New Family Orientation Annual Program Calendar
September/October
· Invite and form committee(s) – Marketing Committee, Parent Ambassador Team or any group dedicated to helping promote the school and assist in welcoming prospective families.
· Set admissions season calendar and publish it (internally, website and in collateral materials)
· Ensure collateral materials are updated and ready for admissions and re-enrollment season
· October: Check in with new families to see how they are feeling about the transition into the community
November/December
· Host one admissions open house/cultivation event
· Acknowledge/thank prospective families for attending event and visiting campus (on-going)
· Begin to accept applications for admissions
· Prepare Marketing Budget for the upcoming year
January
· Attend local school fair/prospecting event(s)
· Continue to accept applications
· Announce tuition and distribute re-enrollment contracts
· Host admissions event/Catholic Schools Week
February
· Deadline for first-round/priority admissions considerations
· Send acceptance packets to new families with the acceptance letter, enrollment contract, new tuition and applications for financial assistance if requested by families
· Call all new families to say "welcome and congratulations"
· Host shadow days for transfers – begin to accept transfer applications once school identifies available spots per grade
· Host new family reception (for adults) with Board, key administration and parish representatives
March/April
· Send all families school tentative calendar for upcoming year
· Continue accepting applications on a rolling basis
· Host admissions/cultivation event(s) for spring prospects
· Continue sending acceptance packets and materials to new families (on-going as appropriate)
May/June
· Host New Parent Orientation (provide welcome night for adults to questions answered and school can set expectations before the long summer pause)
· Thank committee and committee leadership for service
Late June/Early July
· Host social playdate or event for new families and their students to let them “connect” socialize
· Send a little something to the incoming new students as a way of saying "Wow, this school is going to be such a special place for our family" -- could be a small child's prayer book, or something made in-house by the 8th graders for the new students coming in. . . a CD of songs sung by the school choir that are used at school masses or assemblies. . . something sweet!
· Send summer reading lists, school supply needs, uniform ordering info, final academic calendar
· Sponsor or have presence in community wide events (parades, summer fests, family concerts, movie nights, etc.)
