Centennial After Grad Meeting Minutes

Present: Coleen Bohlen, Brigitte Dunbar, Janine Close, Nancy Doucette, Jennifer Budnik, Randy Castle, Katherine Wallace, Audrey Woosnam, Kathy De Renzio,

Guest: Taryn Smith from Metro Ford, Port Coquitlam

Meeting called to order at 7:06.

Minutes of April 12, 2012 (previously e-mailed out to AG members), motion to approve by Brigitteseconded by Kathy; approved.

1.0Ford Drive One event (Taryn Smith):

For event, we’llneed minimumof 10 parent volunteers;Metro Ford (MF) will bring 5 vehicles to drive around and a couple to have in parking lot for parking assist and voice activated actions; MF will have a representative to do drives with people; Ford Canada will send package with advertising balloons, vinyl banners,realestate signs, posters, handouts, T-shirts; volunteers wear Ford-Drive-One t-shirts; Will be advertised on Ford Canada Facebook and sent out to all MF Facebook and link for Centennial Facebook.

Ford Canada will donate $20 for valid test-drives up to $6000; onevalid test drive per household, over the age of 18 with valid driver’s license;325 test drives is target for the day so that gives leaway for errors, etc so that we still achive our maximum; Timeline: 10-2 pm on June 3rd;MF will have advertising for our event on the bottom of their weekly ads in the tri-city newspapers; Jennie will put into papers and maybe ask rec center to post info on electronic sign

We will need a couple tables and tents (if it rains) maybe ask football team about tents (borrowing); Taryn at MF can put in a request to fast-track the money so that we might have it before grad.

2.0Donations: (Audrey)

Donations are coming in very slowly this year. So far we have about $1000 on cash, $1000 in gift cards (some of which are for food stores) and $2000 in product. An IPAD-2, IPOD Touch, KoBo/Kindle reader, PlayBook, Bluetooths, Accessories for IPOD, Netbook, GPS, camping gear are possible bigger prizes for donation wish-list.

2.0 Entertainment: (Daphne)

No updates to report at this time.

3.0Food Committee: (Volunteer needed)

No updates at this time.

4.0 Finance: (Nancy)

The only thing that has gone through the account has been the pub night funds. A lot of the funds have been going through the school account e.g. for the flowers etc. so that we can get an HST credit. We’ll do a thank you note/gift (plant pot) for Michelle Lee (school accountant).

5.0 Volunteers: (Randy)

No new information. When we have a need for volunteers, Randy and contact people to ask them to help. Let him know. Randy will contact the Ticket Sales volunteers to see if any of them have previously volunteered for this so that they might be able to assist us with ticket sale logistsics this year.

6.0 Decoration: (Jennifer, Kathy)

The decoration crew has gone shopping and they will be putting an order in too. School has purchased blue paper. Downstairs will be daytime summer fun and upstairs and the casino will be nighttime summer fun. Plans to make reasonable tiki torches and store has offered to loan some more expensive items too. Bull on stage and other stuff in gym. Will need to lay everything out and plan how things will be laid out. Daphne will get dimensions of different items and stage, etc. to see if it’ll fit. Concerns were noted about gym looking too empty with bull out of it. Will have photo opportunities set up around downstairs so maybe photo booth could go in gym too.

7.0 Fundraisers: (Coleen)

  • PlayLand passes:This is on-going; purchase on-line with code.
  • Thrifty’s Smile Cards: on-going; contact Coleen to get cards. End of May is deadline for raising funds this year so please re-load your card prior to the end of May so that Centennial AG benefits. Keep your cards, because they will be renewed when we renew our application in the fall.
  • Plant sales: Brigittehas set this up at Devry’s greenhouse. There a link for orders ( with deadline for orders by April 30th. Orders will be delivered on May 10th and can be picked up that afternoon after 4:00from Brigitte’s house. Janineand Coleen will update on-line calendar and website with new pick-up times.

For all upcoming fundraisers,Jennieoffered to contact local papers to get information in there for the fundraisers.

8.0 Ticket Sales: (Monique-absent)

Tickets are printed and complete. Tickets will be sold the last week of May; 2 tables will be set up side by side in the alcove. The teachers will not be selling them so this will need to be worked out. Moniquehas contacted Maria Thomas for details on how sales work. They are available if needed for information on ticket sales. Tina may be able to share information from how everything is done. Students will need ID for getting tickets too. Janine can provide list of student photos so that we can know who is who for ticket sales.Janine will print off one list of students so that both tickets sales tables will have a grad list and guest list. All monies will come into vault and be handled by Nancy; double counted with Audrey. They will organize with Janine to come in and pick up money to deposit. Daphne will do up poster for activities and Kathy and crew will have advertising for the summer theme for AG. Have these ready so that they can be shown for ticket sales (last week of May).

9.0 New Business:

No new business. Coleen may look into fundraising wrist bands for next year; Coleen will ask about getting wrist bands from rec center (300 or so) for the bull ride.
