Create A Folder
Use Folders to store tools and information. Items in a Folder are sorted alphabetically.
· From inside a Folder or Meeting Scroll down and click
· Select the Folder radio button and click
· Enter the name of the Folder (i.e. 12/21 Offsite Planning)
· Enter Introduction and Closing as needed
· Click
Create an IdeaSet
Use the IdeaSet Tool for brainstorming sessions, gathering feedback
Move Data from IdeaSet into TopRank
You may transfer data from an IdeaSet into the TopRank tool using the Transfer button located at the bottom of the IdeaSet GroupMind screen.
Creating a TopRank
Use the TopRank Tool to create a rank order from a list of items.
· Select the TopRank radio button and click
· Enter the name of the TopRank (i.e. Possible Action Items))
· Enter instructions and toggle settings as needed
· Click
Create a Discussion w/ Index
Use the Discussion Tool as a place for free-form conversations. Optional
threading for "comment on comment" functionality.
Move an Item
You may move items into and out of folders by going into the Admin mode for an item and selecting Relocate.
You will find these buttons at the bottom of the Admin screen for any item.
Setting Permissions
Individual Permission Levels
Administrator: has read and write capability in all areas, may edit facilitators instructions, delete groupmind data, transfer data between moves.
Owner: Name appears next to an item, refers to the person within the organization who chooses the issues, defines the objectives and desired outcomes of their portion of a meeting or project.
Facilitator: has admin capability for an individual move, name appears next to an agenda item in a meeting only. Facilitators may be responsible for an agenda item in a meeting.
Participant: has read and write access to an item
Sponsors/Guest: has read-only capability to an item
To Set Permission Levels for an Item
1. Click to open the item.
2. Select Admin from the right of the yellow title bar.
3. Scroll down until you see the Permissions button at the bottom of the page and click to open it.
4. The following message appears. Select Enable Custom Permissions.
5. On the subsequent page, highlight the name you want to move into the owner position from the list of Groups and Users on the left then click the right arrow next to the Owner's box. This will move that name into the Owner's box.
6. Repeat step 4 for the Facilitator box, Participant box and
Sponsor/Guest box as needed. You may choose to leave a box empty however we recommend that you make every effort to complete each box.
7. You must click the Save Changes button at the bottom of the screen.
Create a Survey
Use Survey to create a series of questions (text, multiple choice, etc.) and report on the answers given by participants.
Use CheckVote
Use the CheckVote Tool to allow participants to distribute a predetermined number of "votes" to a list of items.
Create ChartPad
Use the ChartPad Tool to display information to participants.
