01|Running the End of Key Stage Results Wizard Manager

The Wizard Manager guides you through the marksheet set up and entry process, from selecting the relevant Wizard and pupil/student group, adding, editing and validating the results, through to producing the Individual Reports.

This document deals with entering and uploading End of Key Stage Teacher Assessment data only. Instructions for producing the Individual Reports (pupil level) will follow shortly.

Selecting the FP Baseline Wizard

1.  Select Tools | Performance | Assessment | Wizard Manager to display the first page of the wizard.

2.  Highlight FP Baseline Assessment Wizard 2016 and click the Next button.

Selecting the Pupil/Student Group

This page of the wizard enables you to select the group whose results you want to report on.

1.  Click the Field Browser button to display the Group Selector dialog.

3.  The From and To dates default to the date range of the current academic year. To change these dates, e.g. to include pupil/students who have already left the school, enter them in dd/mm/yyyy format or click the respective Calendar buttons and select an alternative date. Click the Refresh button.

4.  Click the + alongside National Curriculum Year to reveal the group.

5.  Highlight the required group (Year R) and click the Apply button to select the group and return to the wizard.

6.  Click the Next button to display the Marksheets page.

7.  Click the Yes button if you are prompted to save.

Accessing the marksheets

The Marksheets page of the wizard displays the available marksheets in the imported Wizard. The marksheets can be sorted on any column by clicking the required column heading.

The marksheets can be opened directly from this page in order to add, edit or validate results. Complete the following steps for each marksheet.

1.  Highlight the required Template name and click the Edit Marksheet button.

Entering the data

The marksheet functionality accessed via the Wizard Manager is the same as when accessed through Focus | Assessment | Marksheet Entry. However, the display is different in that the Marksheet browser and the Focus | Assessment menu routes are not available.

Any results previously entered are displayed.

NOTE: If the marksheet being viewed requires data to be added by the teacher via SLG/iPsum or SIMS in the classroom the same marksheets can be accessed by the teacher in the usual way once these marksheets have been linked to the teacher’s class. Please phone the SIMS Helpdesk on 01446 709109 for help with this.

Marksheets can be printed using the Print button.

Please ensure that the Result Date is the date that the test was taken PRIOR to entering any results

1.  Enter the data into the marksheets by highlighting the cell to display the View Select Grade dialog, highlighting the required value and clicking the Apply & Next button.

2.  Click the Save button to calculate the results and save the marksheet.

3.  If the marksheet contains Formula columns for data review, you should click the Calculate button after saving, to view the output of those columns. If there are any empty cells in the marksheet at this point, a message is displayed in the Missing Entry Check column or the Data Check column. If a Fail message is displayed, you must enter a valid result. This ensures that the correct results are recorded for delivery to your Local Authority (LA).

NOTE: Whilst validation routines check for a comprehensive range of missing or data entry errors, care should always be taken to ensure that any data entered is correct.

4.  When you have completed the marksheet, select the Data Entry for this Marksheet is Complete check box, where applicable, and click the Save button again.

5.  Click the Close button to close the marksheet and return to the Wizard Manager.

6.  Ensure that the marksheet containing the Foundation Phase baseline is the calculated and saved last.

Editing data previously entered

  1. Access the wizard as described above and click Next twice to display the Marksheets page.

7.  Highlight the required Template name and click the Edit Marksheet button.

8.  Enter any missing data into the columns as described above.

9.  To delete and amend an entry right click on the cell containing the incorrect result and select View/Edit Result History, highlight the result to be deleted and click on the red cross. Click on the Close button to close the dialog and return to the marksheet.

10.  Once all amendments have been made, click both the Calculate and the Save buttons.

Creating an End of Key Stage Results Export File

1.  Select Routines | Data Out | NDC Results to display the NDC Results (Welsh Baseline Assessment) page.

The Students panel is populated with the pupil/students who are on-roll on the Effective Date during the Current Academic Year (15/16). The Aspect Selection panel displays all the Basleine aspects for which the results are being exported. These are for information only and therefore, cannot be edited.

2.  In the Students panel, the Current Academic Year (15/16) radio button is selected by default to export the details of pupil/students in the Current Academic Year.

The Export File panel displays the name of the file in the File to export as field. The Folder location defaults to the folder name and location last used, but should be changed if necessary to a location on your S drive (S:SIMS\Assessment\NDC) by clicking the Folder Browse button to display the Browse For Folder dialog.

3.  Navigate to the S drive, the SIMS folder, the Assessment folder and then to the NDC folder. If necessary, create a new folder at any stage by clicking the Make New Folder button and entering the name of a New Folder.

4.  Click the OK button to return to the NDC Results page.

5.  Click the Export button on the toolbar.

NOTE: If the default folder name and location are changed, clicking the Export button records the new folder details and uses them as the default when the export routine is next run. If the default folder location and name are changed and you close the NDC Results page without first exporting the file, the folder changes are cancelled. The next time the export routine is run, the original default folder details are displayed.

If the export is successful, the results file is saved with the name displayed in the File to export as field in the specified location. Any errors that were identified during the export are displayed in the Validation Errors Summary panel at the bottom of the NDC Results page.

The number of failed Validation Rules is displayed. An error is indicated by a 0 and a query is indicated by a Q in the Type column. All validation rules are assigned a unique sequence number and this number is displayed in the Sequence column to identify the nature of the failure.

To search on a specific error that has failed a validation rule, locate the sequence number in the Sequence column, click the drop-down list and select the unique sequence number from the list. Only failures with this sequence number are now displayed.

The Message column displays a brief description of the nature of the failure. The Location column displays details of the affected pupil/student, including their Unique Pupil Number and their Forename and Surname.

The Solution column suggests a menu route and an action to enable you to revisit and fix the error before running the export routine again.

6.  To retain a copy of the failures to aid you when revisiting the data, click the Report button to print the Validation Errors Summary.

7.  Click the Close button.

03|Sending the authorised return to the LEA

Once the results have been recorded, are clean of validation errors and have been exported the xml file can be uploaded to DEWi. The data will then be validated by the LA using the Welsh Government validation software, before submission to the Welsh Government.

To upload the file:

1.  Access the DEWi web site at https://www.dataexchangewales.org.uk

2.  Enter your username and password and the characters shown in the image.

3.  Click the button to Login in English or Mewngofnodi drwy’r Gymraeg.

4.  Click Upload.

5.  Click on the Browse button and navigate to the folder where the results files are saved (for example S:SIMS\Assessment\foundation Phase Baseline)

6.  Highlight the XML file created, this should be in the format 673SSSS_NDC_673BA16_001.XML.

7.  Click Open.

8.  Click on Upload file.
