Responsibilities and Duties

Theproductionmanager (PM)will take all projects from the sales/design staff and carry them through from contract to completion; including supervising the appropriate staff required to perform those duties which may include lead carpenter (LC), carpenter, cabinetmaker (CM), and production coordinator (PC).

The production manager must also manage the relationships between the subcontractors and Curb Appeal Renovations (CAR); constantly seeking new subcontractors to join the team at CAR and overseeing their performance on each project.

The production manager also takes responsibility for the entire operations of the company in the absence of the president and CEO.

1.1General Responsibilities

Deal with clients and fellow employees in a positive, responsive manner.

Assure that effective communication is present in every aspect of the position, including communication with all subcontractors, suppliers, Curb Appeal Renovations employees, and most importantly, the clients. This will be completed through above average verbal and written skills using company provided tools including communication logs, cell phone and computers.

Responsible for planning and scheduling the projects, assigning work, expediting performance, supplying supervision of subcontractors, and ensuring quality completion of the projects. This includes thorough and efficient organization of material, labor, subcontractors and equipment before and during the projects.

Responsible for the protection and security of both the materials delivered and installed on the projects as well as the clientshome and other property.

Ensure delivery of the professional, first quality product the client expected when they initially signed the contract with Curb Appeal Renovations.

1.2CustomerRelations/Satisfaction

The production manager is the company's primary contact with the client and is responsible for satisfying the clients' expectations of the job and immediately addressing and resolving any problems. This responsibility involves both effective verbal and non-verbal communication with the client and will take place through both daily and weekly face to face documented client meetings.

On all projects, the production manager must respond to client requests for changes in the scope of work by identifying the specific changes desired and work with the necessary personnel, i.e., president,production coordinator, lead carpenter, etc. to develop change orders.

Through non-verbal cues, a client observes the production manager's attitude with regard to such things as concern for the client’s property, desire for a quality product, attention to detail, effective management of subcontractors, and professionalism. These cues arise from the production manager's appearance, the cleanliness of the jobsite, the steps that have been taken to protect the client's property, the manner in which employees and subcontractors under the production manager's supervision are treated, the quality of the work accepted by the production manager, and the efficiency with which the job proceeds.

The image presented reflects on both you and the company. Accordingly, it is the production manager's responsibility to dress appropriately, keep the jobsite clean and secure, treat everyone with respect, obtain and produce the highest quality work and make sure the job is ready before a subcontractor arrives. Accordingly, the production manager is expected to adhere to the following guidelines:

a) Dress - The production manager will dress appropriately for the position. Company shirts, clean pants, work boots are preferred over tennis shoes. Cutoffs are not acceptable.

b) Jobsite conditions - Responsible for making sure adequate dust protection is in place at all times, the delivery and set up of the cleaning cart, the job site is broom swept and exterior doors and windows are locked at the end of each day, no trash is left on the job site, cabinetry is cleaned out immediately after installation and the cabinets/tops protected from damage, and all other hardware, flooring and fixtures are adequately protected after installation.

c) Client's property - Responsible for the key and keybox, and not use any equipment, tools or cleaning supplies owned by the customer. The production manager is expected to open and close the job each day or arrange for another employee to do so. The production manager may accept a client's offer to open for or close after a subcontractor, but only on a very infrequent basis and only if the production manager has already conducted an on-site review with the subcontractor of the work to be performed and the subcontractor has agreed to broom sweep the job.

d) Noise/Conversation - The production manager must not tolerate foul or abusive language, loud music, or negative conversation regarding the client, subcontractors, other employees, the company, etc.

e) Daily Job Planning - Before every subcontractor arrives at the job, the production manager is responsible for determining that the job is ready, the appropriate materials are on site and the subcontractor knows the scope of work to be performed.

1.3Master Production Plan

It will be the responsibility of the production manager to oversee the development of the complete production plan. This will entail directing other staff and also meeting expectations as outlined in the production manager manual. This plan is a crucial part of the production managers responsibility as all aspects ultimately lead back to this plan.

1.4Scheduling

It is the production manager’s responsibility to develop and maintain efficient and timely progression of the project. The schedule shall be developed and maintained in FastTrack scheduling software. This responsibility includes forwarding material requests to the office in sufficient time to allow delivery of the material to the job site by the appropriate supplier. If there is not sufficient lead time for delivery, the production manager is responsible for picking up or arranging for pickup of the material.

1.5Warranty

It is the production manager’s responsibility to respond to a warranty call within 1 business day of receiving notice from the office. Warranty work is to be treated as an opportunity to reinforce the professionalism of the company.

Use the return to the job as an opportunity to elicit feedback on the job; things the customers are especially pleased with and things they would change if they had it to do over again.

1.6Paperwork

To keep the client, president and production coordinator informed of progress on a specific project, the production manager must prepare or submit various types of paperwork, which is expected to be both timely and complete. The paperwork requirement includes:

1.7Meetings

The production manager will be required to conduct a pre-construction meeting at the start of each project to set the expectations between CAR and client; attend a weekly production meeting every Friday, 7am at the office in which he will be required to report specific information and attend a bi-weekly staff meeting and hold a trade summit a minimum of once yearly.

The production manager will also be required to attend other meetings as requested by the president/CEO, including those that may require travel to other cities.

Personal Characteristics/Requirements

This position requires professional, organized, individual who is able to think on their feet, capable of problem-solving and dealing with difficult issues. This individual will also be able to lead others and ensure that all individuals working on the CAR team, whether they are employees, subcontractors or vendors, are working to exceed the client’s expectations. This position will also require an individual that will be able to teach others and lead by example. Since remodeling is a constantly changing environment, this individual must have patience and thrive in an ever changing environment. The production manager must also be able to juggle multiple projects, requests, and demands, all while communicating in a positive, firm manner, making sure he is receiving the type of timely, quality response from his team of employees, vendors and subcontractors. This will require above average communication and management skills that will allow him to perform and to delegate the work required.

This is a 24/7 position that requires the production manager to assume the responsibility of being the first line of client contact in any and all emergencies.

2.1Training

The production manager is charged with the obligation to strive for his own professional development as well as the development of employees and company subcontractors. Self-improvement should include participation in continuing education, seminars, and reading construction and management related material. Requests for time and funding to participate in training programs should be presented to the President/CEO. Training of employees and subcontractors should involve both leading by example, and publicly praising a job well done. When necessary, criticism should be short, timely, performance related and private.

The production manager will be required to participate in all team monthly reading assignments and will be required to lead two reading assignments throughout the year.

The production manager will be required to develop and lead all safety meetings and hold at least one safety meeting each quarter. Safety meeting topics must come from an OSHA approved source: i.e., NAHB – OSHA Jobsite Safety Manual, or Administaff approved material.

The production manager will be required to attend 8 hours per quarter of continuing education that must be approved by the president and CEO. A schedule and budget for training for the entire production staff, including his own, must be presented to the president and CEO and approved prior to November of each year.

The production manager must maintain CPR certification once CAR employees receive initial certification.

The production manager will also be responsible for ensuring that all other employees under his responsibility meet their goals including lead carpenter, carpenter, cabinetmaker, and production coordinator.

2.2Technical Skills

The production manager must possess broad technicalskills and is expected to use these skills whenever necessary and appropriate to provide the highest quality job to the client in the most efficient and cost effective manner.

This requires the production manager to evaluate the alternative means to complete a particular task and decide whether the task will be handled personally or delegated to others. This evaluation process must include, among other things, consideration of how each alternative will (a) impact the schedule, (b) affect the budget, and (c) promote delivery of a quality project.

2.3Skill, Knowledge and Abilities

2.3.1 Education

Required: High School Graduation

Preferred: Construction or Trade school with experience in related field.

2.3.2 Experience

A minimum of 10 years carpentry experience

Personal computer experience – MS Office suite of products (Word, Excel, Outlook, Powerpoint)

2.3.3Skill, Knowledge and Abilities

a)The ability to interact and communicate well with other employees, subcontractors, and customers.

b)Extensive rough carpentry experience and knowledge including layout knowledge of foundations, rafters and stairs.

c)Extensive finish carpentry experience and knowledge including trim, cabinetry installation, and interior finishes.

d)Good working knowledge of all related building trades.

e)Good working knowledge of all MS office suite of products including Excel, Word, Outlook

f)Good working knowledge of CAR scheduling software.

g)The ability to lead and teach others.

h)Using analytical and observation skills demonstrate the ability to set a course or direction, which fulfills the vision and expectations as designed. Must be able to read and understand blueprints.

i)Must be available for flexible work hours if required and be available after hours should emergencies arise during projects.

j)Requires statistical and analytical knowledge in construction.

2.3.4Physical

2.5EMAIL

Email shall be checked at the start of each work day and throughout the day. All email correspondence shall be responded to by the close of business if received that business day or by noon the next business day if received after normal business hours.

2.6CELLPHONE

Cellphone shall be answered at all times during normal business hours. If the president, CEO or office calls, these calls are expected to be answered immediately by putting the current call on hold, or returning their call immediately after finishing the current call. Non-urgent voicemails are to be returned within one hour during normal business hours.

Since this is a 24/7 position, the PM’s cell phone is to be accessible at all times after normal business hours unless PTO or holiday time is scheduled and arrangements have been made accordingly. Emergency calls after business hours must be returned within one hour. Non-emergency calls must be returned the next business day.Voice mailbox must remain empty to allow clients or staff to leave messages.

REPORTING RELATIONSHIPS

The production manager is a management reporting position within the company and the lead carpenter, carpenter, cabinetmaker, and production coordinator positions report to this position. The production manager reports directly to president but also takes direction from CEO.

MEASUREMENTS OF PERFORMANCE

4.1Each project is to be completed with no more than a 2% over-run to budget unless approved by president or supported by approved client change orders.

4.2All projects are to be brought in on time according to project schedule developed within variance of 5%; with exception of approved client change orders, or project change orders approved by president or other exceptions approved by president.

4.3Change orders have been prepared and processed within two business daysof receiving the written client change order request form.
