ST. PAUL’S COLLEGE EXCURSION POLICY

Excursions are designed to offer engaging, adaptive environments that energise the learner. Excursionsare regarded as a very important part of the students overall learning experience, and are used across all learning areas to stimulate, extend and challenge students. For the College to run smoothly certain procedures must be followed by teachers wishing to take groups on excursions. These procedures are outlined below.

Excursion Application Forms and Excursion Forms can be accessed by staff in the following locations:

  • G:\common\teacher\Excursions andProfessional Development.
  • Under the ‘teacher’ tab on the College Moodle site.

Procedures for organising an excursion are;

  1. Complete an excursion application form, following all application procedures and submit it to the Assistant Principal at least two weeks prior to the event.
  2. Once approval has been obtained an Excursion Form must then be completed, ensuring all application procedures are completed on both section 1 and section 2.
  3. A copy of all relevant documentation, including the excursion form and parent information letter, is to be given to the Assistant Principal and to the College Bursar as soon as possible after the initial approval has been given. Leaders of Learning are always available to help fill out the excursion form accurately.
  4. If Purchase Order Requests are required then these must be completed (obtainable from the College Bursar).
  5. Complete a parent information letter to send to parents outlining all relevant information attempting to give them as much notice as possible. All parent information letters are to be co-signed by the LOL and/or the principal.Major excursions obviously require greater notice. Letters for major excursions (e.g. overnight) are to include the following paragraph:

This excursion is regarded as a very important part of your child’s learning experience. However, parents are reminded that at no time should this excursion take priority over the family’s school fees commitments. Therefore, only students of families who have their school fees paid up-to-date or who are making a genuine effort to do so will be eligible to attend this excursion.

  1. The organising teacher must inform all staff through morning notices and/or emails that the excursion is occurring and the group of students attending.
  2. The organising teacher must inform all staff through morning notices and/or emails of the individual student attending the excursion. In order to have rolls which are correct, this list must be accurate on the day, especially when students will be absent from morning Pastoral Care.
