ARRANGEMENTS FOR THE MEETING

1.venue and dates

1.1The WAFSOPSG/5 Meeting will take place in the ICAO European and North Atlantic Regional Office (EUR/NAT) in Paris, France (address: 3bis, villa Emile Bergerat, NeuillysurSeine, France). The coordinates of the EUR/NAT Office are:

2.REGISTRATION OF THE PARTICIPANTS

2.1The participants are requested to register on site on the opening day of the meeting, i.e.Wednesday, 16 September 2009 from 0900 to 0945 hours. Participants attending meetings in the EUR/NAT Office are requested to wear identification badges at all times. Participants are kindly requested to return their badges to the Conference Secretary, or leave them in the box provided in the foyer, before leaving.

3.DOCUMENTATION FOR THE MEETING

3.1Documentation for the meeting will be available on the WAFSOPSG website at:

3.2No printed copies of the documentation will be available at the meeting site.

3.3Access to the Internet and printer

3.3.1A HotSpot for WIFI connection to the Internet is accessible from all meeting rooms and from the ground floor including the cafeteria. Password information for gaining access to the WIFI will be available in the meeting room.

3.3.2PCs without WIFI capabilities cannot be used in the meeting room, nor elsewhere at the ground level 2 since there is no Ethernet connector available at that level; however, subject to a request to the IT personnel of the EUR/NAT Office, it will be possible to plug a computer on all the other levels (depending on the number of computers to be plugged and the number of Ethernet connectors available)

3.3.3Two computers and a printer are available in the lobby area of the ground level 2, in front of the meeting room.

3.3.4Files stored on USB keys can be printed from one of the public PCs.

4.OPENING OF THE MEETING

4.1The opening of the meeting will take place at 1000 hours on Wednesday, 16September2009 in Conference Room B1 + B2 where subsequent sessions will also be held.

5.WORKING HOURS

5.1The daily working hours for the meeting will be from 0900 until 1630 hours, with a lunch break from 1215 until 1315 hours. It is expected that the meeting will close at 1200 hours on 18September 2009.

6.Refreshments

6.1Coffee breaks of 15 minutes will be held at approximately 1030 hours in the morning and 1530 hours in the afternoon. Coffee and tea are offered free-of-charge, however please note that soft drinks must be purchased.

7.LANGUAGES

7.1The meeting will be conducted in the English language only.

8.OFFICERS OF THE ICAO SECRETARIAT

8.1Dr. Olli M. Turpeinen, Chief, Meteorology/Aeronautical Information Management (MET/AIM) Section, ICAO Headquarters will act as Secretary. He will be assisted by Raul Romero, Technical Officer, MET/AIM Section, ICAO Headquarters and by the Regional Officer/ANS Implementation (MET).

9.ICAO DOCUMENTS

9.1As of 1 January 2006 the ICAO Document Sales service is no longer offered by the EUR/NAT Office. All orders received are transferred to Headquarters for delivery.

10.SOME USEFUL TRAVEL INFORMATION

10.1Passport and visa requirements

10.1.1Entry visa for temporary visitors to France may be obtained from the French Embassy or the Consulate in their country. Visas are not required for nationals from the European Union States nor from the United States.

10.2Hotel reservations, arrival and departure

10.2.1A list of recommended hotels can be found at the following website: Participants are invited to contact the hotel of their choice directly by telephone or email for reservation. While making reservations, participants should mention that they are attending an ICAO meeting in order to get a special room rate.

10.2.2Participants are requested to ensure that their return bookings are confirmed, as required, at least 72 hours prior to departure.

10.3Currency, credit cards and banking services

10.3.1The unit of currency in France is the Euro. The current exchange rate (March 2009) is US$1= 0.78 Euro, approximately.

10.3.2International credit cards such as American Express, Diners Club, Visa and Master Card are accepted at most hotels and restaurants.

11.OTHER USEFUL INFORMATION

11.1Time

11.1.1The time in France in September is the Coordinated Universal Time (UTC) + 2 hours.

11.2Weather

11.2.1The average maximum and minimum temperatures in Paris in September are 21C and 11C, respectively. The average duration of sunshine is 5.5 hours/day. The mean monthly rainfall is 54mm and it may be expected that precipitation will fall on the average of 2 days a week.
