A.  Welcome and Call to Order

Dotti Shuck called the meeting to order at 7:00 p.m. (Theresa Bowser and Lori Coyle were not able to attend due to volleyball senior night activities).

Those present and who signed roster include:

B.  Secretary Minutes –Traci

It was motioned, seconded, and approved to approve the September minutes.

Minutes are posted on the Boosters tab of the PLHS website.

C.  Treasurer’s Report-Lori

a.  The balance for the Boosters portion of bank account is $8047.44

b.  Bills were submitted and paid.

i.  Bills paid since the September meeting include the following:

·  Fanware (previous check error)- $200

·  Apparel order - $1429.45

·  Aluminum Kaw sign - $150

·  Senior posters - $68

·  Pizza purchase - $190

·  Postage reimbursement - $18

·  Fall Sports Programs - $990

ii. Lori Coyle has asked for stamps and ink. It was motioned, seconded, and approved to provide these supplies. After the conclusion of the meeting, the executive board determined through email discussion that black ink only would be approved.

iii.  It was motioned, seconded and approved to pay an outstanding bill from Denise Miller for supplies for making Kaw Booster sign. The bill has not yet been submitted but will be paid when the receipt is available.

D.  PLHS Administrator Update

J.B. Elliott was present and provided an administrator update.

New bleachers for the football field and also tennis courts have been approved and should be in place for next school year. Tennis courts will be south of school.

Enough money has been raised to buy a new mascot and it will be ordered.

The winter sports meeting is scheduled Wednesday evening. Site Council will also be Wednesday.

The school is currently working on obtaining estimates to update the sign in front of the school. A small electronic sign is desired. It was thought that a used one would be available and installed for $7900, but it went to another school. The project is now waiting for bids. There is $5000 available in savings, and the class of 2012 also has about $2000 to put towards it.

E.  Business

a.  Hospitality Rooms- These went well for the volleyball tournaments.

b.  Kaw Mascot update-Mrs. Moland

The homecoming tailgate to raise funds for the mascot was very successful. Currently most of the money has been raised for the purchase of a new mascot:

·  Tailgate $1063.50

·  Bank donation $500

·  Hamms donation $100

·  Parent donation $10

·  Student donation $13

·  Supplies -$171.81

·  Mascott cost $1866

·  Shortage $351.31

The City of Perry also stated they wanted to assist with the purchase, and provided a check for $300. The city of Lecompton also plans to assist. Boosters will buy in the mean time to ensure it arrives for basketball season. The new mascot will be unveiled at one of beginning basketball games.

There is also a cooling system that can be purchased for the mascot. It isn’t required but would be very helpful for the person wearing the uniform. Its cost is $579. The cooling system will not be purchased at this time.

c.  Fund Raising – Kim/Susie

i.  Sales/profit info

Additional t-shirt orders were placed at a cost of $1429.45 to be added to the inventory and received by October 12 for the following items:

·  Sunburst design: 16 t-shirts, 6 long sleeved t-shirts, 2 crew neck sweatshirts, 9 hoodies

·  Vintage Seal design: 16 t-shirts, 7 long sleeved t-shirts, 2 crew neck sweatshirts, 9 hoodies

·  Vintage Seal Retro Jerseys: 35 shirts

There was $880 in sales during October.

Sales were $316 from the 10/12/12 game.

ii. There is a plan to offer ceramic mugs and shirts with a new winter design for the Nov 24 Holiday Bazaar (Perry Library fundraiser).

iii.  Items will be sold at the Winter Sports meeting Oct 17 and at home basketball games.

iv.  Small door prizes to be given away at sports meeting (numbers under chairs).

v. Will have a raffle for a basket of Kaw spirit items ($1 per ticket/6 for $5) during basketball season.

d.  Pizza Trailer-Lori

i.  Metal Kaw sign for trailer has arrived and is in place.

ii. Overall for the year there has been $255.61 profit from selling pizza and other food items.

e.  Tailgate Recap from 10/12

The tailgate from 10/12 was very successful in raising money for the new Kaw mascot (over $1000 was raised). However, in general the tailgates usually lose money (for the year the Boosters have lost $519.40 with tailgates). Often there is a group providing a meal for a fundraiser that competes with the tailgate. There was discussion to not have tailgates next year if a group is already having a meal.

f.  Fall/Winter Program-Denise Miller

i.  Sales/profit/expense update

An invoice was received for ProPrint for 1200 Fall Sports Programs (12 page with color cover and black/white inside coated paper) at a cost of $990, 34 laminated senior posters for $68, and 200 raffle tickets for $20. (Total of $1078) The cost of the raffle tickets was reimbursed by the junior class as these were for After Prom.

ii. ProPrint has been paid.

An ad for the Fall Sports program was printed incorrectly for Kansas Insurance. This has been corrected and 100 more were printed for an additional cost of $75.

iii.  Money has been received for all advertisers and senior parents except one, and that senior parent has been contacted.

iv.  A letter of appreciation, souvenir program, and Kaw Pennant has been delivered to business sponsors. They have been very appreciative.

v. New business sponsors are needed for the Winter program, as it is likely not possible to reduce it to an 8 page program. Denise is also checking with ProPrint on the possibility of using different paper to save money.

g.  Senior Photos for Winter Sports- Denise Miller

Denise was unable to attend, so we were not able to confirm the date to take pictures or determine the cost or who is printing them.

h.  Regionals/state-The Boosters need to purchase a drink and snack for athletes participating in regional and state contests. Theresa Beatty will provide a count of athletes to Lori Coyle.

Boosters will also do something for Emily Mulvihill as a congratulations for going to state in tennis.

i.  10/17-Marching Band Festival in Baldwin-Boosters does not need to provide anything.

j.  10/20-Taste of Elegance-Boosters does not have to do anything. Deanne reported that 25 students will be serving.
