HR190: Adjunct Report

Description

HR190 is a listing of the recurring payments for term and annual adjuncts and includes the associated account line, payment amount and credit hours.

Report Usage

HR190 can be used to identify an adjunct’s recurring payments for a time period and the credit hours associated with these payments.

FTE% for STRS reporting is available as a field in the Navigation Block’s Key Figures filter. The FTE% is a calculation of 6% times each credit hour represented by each month paid on the Recurring Payment.

When the FTE% column is added, HR190 can assist in verifying that an annual adjunct is working an average 50-64% and that a term adjunct is working 0-49%.

Warning: Some adjuncts have multiple adjunct positions. If you request data by an adjunct’s UCID “M” number with no other personal or Org-related filters, the report will return information for all positions that a person currently holds.

Default Variables Entry Screen Exclusions

Employees who are withdrawn are initially filtered out of this report on the Variables Entry screen. Remove the “0” from Employee Status to include Withdrawn employees in a report.

Tips

DO NOT ADD SUBTOTALS to this report. Results rows can skew the data because the time periods may not be equivalent.

The “Nbr.” Field helps the user to understand the credit hour posting. The line that has a # sign indicates the actual amount of credit hours that was assigned to the recurring payment. If there are multiple account lines being charged by the recurring payment, then they will be numbered 1, 2, 3, 4, etc. and will show a “0” amount of credit hours because the amount only posts once on the report. If a line has a # sign and there are 0 credit hours posted, then the payment did not report credit hours (which is an error made by HR and should be corrected via an email request from the department to HR).

Analyze the recurring payments month by month on a spreadsheet to understand the FTE% per month and to average the FTE% for the year.

Adjunct Information:

oAdjuncts appointed quarterly (term adjuncts) should not exceed 49% FTE per three-quarter academic year. (24.6 credit hours annually) This can be worked out in varied credit hours per term so long as the total does not exceed 24.6 credit hours annually. Except in an emergency (approved by the Vice Provost) the teaching load cannot exceed 9 credit hours in any given quarter.

oAnnual Adjuncts (except COM) should not exceed 64% FTE per three-quarter academic year. (31.8 credit hours annually) This can be worked out in varied credit hours per term so long as the total does not exceed 31.8 credit hours annually. Annual adjuncts must teach all 3 quarters of the academic year. Except in an emergency (approved by the Vice Provost) the teaching load cannot exceed 12 credit hours in any given quarter.

o910 annual adjuncts must be in pay status Sept 1 thru June 30. This is important in the calculation of voluntary payroll deductions - particularly for those adjuncts carrying the health insurance as those deductions are based on the assumption that the employee will be in pay status for 10 months. These payments will go into arrears if the payment schedule is not correctly adhered to.

o912 annual adjuncts must be in pay status Sept 1 thru Aug 31. This is important in the calculation of voluntary payroll deductions - particularly for those adjuncts carrying the health insurance as those deductions are based on the assumption that the employee will be in pay status for 12 months. These payments will go into arrears if the payment schedule is not correctly adhered to.

HR190 Relationship to Other Reports

HR190 is a variation of the HR710 report, limited to only term & annual adjuncts and including credit hours and the option to add the calculated FTE%.

HR 190 reports only CURRENT basic employee information, even if a person was in more than one position during a calendar year. Most of this basic data is available in other reports, especially as Attributes of the Employee.

HR190 Relationship to R/3

Since BW data is as of the previous day's business, this report will not include any activity that has posted today in R/3.

Additional Information:

N1 – Spouse/Dependent is a group of spouses and dependents of deceased retirees that were converted from HRMS in order to manage their benefits

N3 – Special is a group of employees who are not paid by UC. Normally they are Visiting Faculty who are paid by another institution and not UC.

N4 – Corporate is a group of contractors and employees of the College of Medicine’s Private Practices who need access to UC Flex plus the Clinical Instructors at University Hospital

O1 – Out of Area is a group of Post Docs who work outside the local area
