How we protect and use your information

Who we are

We are a grant raising consultancy based in the Northwest of England as a collaboration of three freelance Funding Consultants (Sole Traders)

At REP Consulting we do all we can to respect your right to privacy and the protection of your personal information. This policy sets out what wedo with your information in order to provide our clients with our consultancy services.

We respect individuals’ rights to privacy and to the protection of personal information. The purpose of this Privacy Policy is to explain how we collect and use personal information in connection with our business. “Personal information” means information about a living individual who can be identified from that information (either by itself or when it is combined with other information). We may update our Privacy Policy from time to time. When we do we will communicate any changes to you and publish the updated Privacy Policy on our website. We would encourage you to visit our website regularly to stay informed of the purposes for which we process your information and your rights to control how we process it.

The information we use and where we get it from

We collect and process various categories of personal information at the start of, and for the duration of, your relationship with us. Most of your information will have been provided by you as part of our contractual process (Service Proposal and Consultancy Agreement). We will limit the collection and processing of information to information necessary to achieve one or more legitimate purposes as identified in this policy.

Personal information may include some or all of the following:

  1. basic personal information, including name, address and contact details including telephone numbers (work, mobile and home if others are not available) and your email address;
  2. Services provided.

Your rights

You have certain legal rights to control what we do with your information. This includes a right to get access to your personal information; to request us to correct or update incorrect information; to object to or request that we restrict processing your information in certain circumstances; to object to direct marketing; and to receive the personal information you provided in a portable format.

How we use your information

We only use your information primarily to provide you with our services and for the day-to-day running of our services with you. We may also use information about your organisation and services we have provided for you on our website through testimonials, the testimonial text is agreed with your organisation and permission sort prior to publication. We also use it to comply with laws and regulations that apply to us.

How we process personal data

We use personal data with your consent, or where it is necessary in order to:

  • Enter into a contract and deliver services for you;
  • Comply with a legal duty;

We will only use personal data about you for the purpose(s) it was collected for or closely related purposes and will inform you or seek your consent if we need to use it for other purposes.

Sensitive Personal Data

We do not store nor process sensitive personal data about you. Should you provide us with such data, through draft application form narrative to third party funders, we will not store this information and will permanently delete such files/information at the earliest possible opportunity and record this fact as well as notify you.

Sharing your information

We keep your information confidential and will only share your information internally betweenthe REP Consulting Sole Traders named below.

Transferring information overseas

We will not transfer any personal information we hold on you to any overseas organisation.

We will not share your information with any third parties for their own marketing purposes.

How long we keep your information

We don’t keep your personal information for longer than we need to. This will usually be for the duration of our contract with you or a maximum of 12 months. If we wish to retain your contact details after this period, we will always seek your consent.Once the contract has been fully completed and signed off (through receipt of the final payment), you will be asked if you are happy for us to keep your personal contact details to provide you with future marketing information about REP Consulting. This will be reviewed annually to seek your opt-in consent.

Security

We are committed to ensuring that your information is secure with us. REP Consulting Sole Traders use recognised software firewalls to make sure that your information remains confidential in order to protect you and us.Should any paper copies be made which contains any personal information this will only be used internally between REP Consulting Sole Traders to provide our services. Such documents will be permanently destroyed (shredded and/or incinerated) once they are no longer required.
