1General
1.1All room bookings are at the discretion of the Management.
1.2You are not permitted to consume or bring your own food and drinks into Albany Meeting rooms, and the sale or consumption of alcohol other than provided by the Albany is not permitted. Catering can be provided with five working days’ notice.
1.3Smoking is not permitted in the building.
1.4The Albany reserves the right to change your room in line with our business needs. If upgraded to a larger room with a higher fee, there will be no extra charge to The Hirer. If moved into a smaller room with a lower fee, the difference will be refunded.
1.5All bookings held on the booking system and invoiced for are subject to alteration and cancellation charges (see 8 and 9)
2Payment of charges and confirmation
2.1No booking is confirmed until The Hirer receives a confirmation invoice from the Albany.
2.2Bookings are made on a first come first served basis.
2.3All bookings accepted by the Albany will be invoiced in full to The Hirer with an invoice confirming that the room(s) is being held on the system. PAYMENT MUST BE MADE IN ADVANCE OF USE OF THE ROOM. The Hirer will not be allowed access to the room unless they have settled their account in full.
2.4Rooms booked more than a week in advance should be paid for no later than seven days before the start of your booking. Payment can be made in one of the following ways:
By card: Call Reception on 0208 692 4446 with the date of tour booking and the invoice number and they will be able to process payment.

Payments made by BACS must clear before the date of the first booking.

2.5Payments not received at least a week before the date of the booking (excluding those made within a week of the booking itself) may result in cancellation and the room (s) will be released to other potential bookers.
2.6Monthly invoices cannot be paid in instalments. The total sum of the invoice must be settled at least a week before the date of the first event.
3Equal Opportunities
The Albany is committed to providing facilities for individuals and groups of people within the context of equal opportunities, this covers all activities and events taking place on the Albany premises. In line with our Equal Opportunities Policy (available on request) it is expected that Hirers and their groups will not use language or behaviour which could be construed as discriminatory while in The Albany.
4 Child Protection
It is the policy of the Albany to safeguard the welfare of all young people involved in its programmes by making every reasonable effort to protect them from physical, sexual and emotional harm. We expect all Hirers and their groups to safeguard children and vulnerable persons in line with our Child Protection Policy (available on request). It is the responsibility of The Hirer to ensure that anyone supervising young or other vulnerable people has the appropriate CRB check and follows Best Practice.
4.1It is The Hirer’s responsibility when hiring a room for children’s or young peoples’ activities to ensure that any children and young people attending the activity are appropriately supervised at all times in line with all Health and Safety Regulations and legal requirements.
5Booking procedures
5.1ROOM BOOKINGS WILL ONLY BE ACCEPTED IN WRITING on a signed and current booking request form, which can be filled in and submitted on line or downloaded from our web site ( emailed or faxed to you or collected from Reception. We do not make “pencilled bookings” or make verbal agreements. The Albany accepts no responsibility for publicity produced by The Hirer before a booking is confirmed. Please send all emails to . In the case of an organisation, there must be a named individual on the booking form who will take the responsibility for the observance of these terms and conditions.
5.2It is the responsibility of The Hirer to ensure that all details on the booking form are correct before signing, and that The Hirer understands and is able to comply with these Terms and Conditions.
5.3The Hirer is are required to state the purpose of the hire including whether the hire is for public or private purposes and if their booking involves music/singing or any other increased noise levels.
5.4It is the responsibility of The Hirer to provide proof of charity registration or evidence of voluntary/community organisational status in order to qualify for our charity rate.
5.5The Hirers will be required to complete a Monitoring Form in relation to each room hire event (a form will be handed to The Hirer at Reception upon collection of the room key). The form can either be handed back to Reception at the end of the event (preferred option) or posted back to the Albany.
5.6Bookings will be accepted up to three months in advance.
5.7The minimum booking is one hour and 2 hours on a Sunday.
6Use of premises and insurance
6.1Hirers will only have access to the particular room(s) stipulated in the confirmation letter plus use of public toilets and other common areas, and shall only use the room/s for the purpose stipulated on the booking request form.
6.2In order to comply with our Public Entertainment Licence and Health and Safety Regulations, at the Front of House Manager’s discretion, it may be necessary to have Albany staff present in any space with public access. If this is necessary The Hirer will pay for the extra staff needed.
6.3The Hirer will be responsible for any damage done to the building or property of The Albany arising from actions of The Hirer or members of their group. It is the responsibility of The Hirer to ensure that all
appropriate insurance policies for their given activity have been taken out.
6.4All equipment brought onto the premises by The Hirer remains at The Hirer’s risk, and any loss or damage to such property will be The Hirer’s own responsibility.
6.5All electrical equipment brought onto the premises by The Hirer for use on the premises must be fit for use and display a current PAT test label.
6.6The Albany opening hours are 09:00 – 21:00 weekdays, 10:00 – 18:00 on a Saturday and it is closed on Sunday. Opening the building outside of these hours will incur additional staffing costs.
6.7The Hirer shall be responsible for ensuring that no activity takes place that might endanger the general health and safety of any person attending the Albany.
6.8Any Hirer programming activities where injury or damage may be possible must provide the Albany with a Risk Assessment, method statement and appropriate liability insurance in advance.
6.9Any bookings involving increased noise levels such as singing/music/shouting can only use the Yellow, Studio or Red Rooms. If you have booked a room other than the Yellow, Studio or Red and the level of noise you create disturbs other bookers and/or residents you will be asked to reduce this noise. Failure to act upon this request promptly will result in the termination of your booking with no refund.
6.10The Hirer must leave the premises in a reasonable state of cleanliness and tidiness by the end of the hire period and ensure that;
The room is left as it was found
Rooms are cleared of debris and the rubbish is bagged
All Hirer’s equipment is removed from the room/s.
6.11All customers will be asked to leave a £10 deposit with Reception for each room key on the day of their booking. The deposit will be returned when the key is handed back in.
7Period of Hire and Over-stay charges
7.1No Hirer will be given access to booked rooms before the start time stated in the confirmation letter.
7.2An overstay charge of double the published rate will be charged for any hour or part of an hour beyond the agreed finishing time.
8Alteration charges
8.1We will only make changes to a booking in exceptional circumstances. Any alterations or changes to a booking must be put in writing or emailed to . Once The Hirer has been invoiced for a booking, alterations to that booking will incur a £5.00 charge per event to cover administration costs.
9Cancellation charges
9.1All cancellations must be in writing or emailed to .
9.2The cancellation of a booking held on the system shall be subject to the following cancellation charges:
9.3Where a booking has been paid for before cancellation, a refund will be payable of;
75% / Between one and two months notice
50% / Between one week and one months notice
0% / Less than one weeksnotice
9.4Where no payment has been received before cancellation, a charge will be made for;
0% / More than twomonths notice25% / Between one and two months notice
50% / Between one week and one months notice
