SIXTH FORMADMINISTRATIVE OFFICER

Grade: APTC Scale 5

Hours of Work:8.00am to 4.00 pm

Weeks of Work: 41 weeks per year to include INSET days

Responsible to: Office Manager

Supervision Exercised: Nil

Contacts: Internal: Staff and pupils,

External:Governors, parents, visitors, police,emergency services,

maintenance staff/contractors, suppliers, mail personnel.

Main Scope of Job: To assist with secretarial, administrative andclerical duties in

the Sixth Form Centre. To assist Staff with clerical work as

directed by the Head of the Sixth Form Centre.

DUTIES AND RESPONSIBILITIES

Administrative Tasks

  • To maintain electronic records of Sixth Form attendance on the Management Information

System provided to include recording daily absence of the students, production of

attendance reports and sending out letters to parents.

  • To have responsibility for the preparation, collating and editing of the Sixth Form

Prospectusin consultation with the Head of Sixth Form.

  • To be responsible for the organisation of the Sixth Form Open Evening to include

preparation of the documentation required, marketing and other administrative duties

associated with the event.

  • To support the Head of Sixth Form, with the processing of Sixth Form applications

throughout the year to include liaising with external applicants, arranging interviews and

taster days.

  • Under the direction of the Data Manager, be responsible for the input and regular updates

of Sixth Form Learning Aims and collating information for Census Returns.

  • To provide general administrative support to the Head of Sixth Form, Tutors, Students and users of the Sixth Form Centre as required.
  • To support with the preparation, checking and printing of reports in accordance with the

reporting cycle of the school.

  • To provide administrative support to the main school office as and when required.

Students

  • To support the organisation of the Sixth Form Registration Day to include issuing identity

passes, induction packs and timetables.

  • To support with the preparation and distribution of timetables for students.
  • To co-ordinate the allocation of lockers to students and maintaining accurate records of

deposits paid.

  • To provide general support for student and parent enquiries.
  • Under the direction of the Data Manager provide administrative support with the grade

entries and Results Days to include collating and distribution of results and other associated tasks.
