CHAPTER BYLAWS

Article 1 – Name

The name of the organization shall be the ______Waves Chapter of the Pepperdine University Alumni Association, hereinafter referred to as the Chapter. The Chapter is a ______tier Chapter.

Article 2 – Purpose

The purpose of the Chapter shall be to cultivate enthusiasm and foster a mutually beneficial relationship among alumni and their alma mater. The Chapter serves to increase alumni participation and increase awareness in the region of the progress and needs of the University.

Article 3 – Membership

Membership shall consist of all individuals with an interest in the welfare of PepperdineUniversity, including but not limited to alumni, parents, friends, and students who reside and receive mail in the ______region.

Article 4 – Executive Officers

Section 1. The business of the Chapter shall be managed by its Chapter Executive Board in accordance with the Chapter bylaws and guidelines for Chapters and Regional Programs.

Section 2. The Chapter Executive Board shall serve two-year terms. The board shall have a team of executive officers based on chapter tier, in order of prioritybeginning with the three core positions 1) President or Copresidents, 2) Vice President of Programming, 3) Vice President of Membership Development, 4) Vice President of Volunteer Services, 5) Vice President of Community Relations, and 6) Secretary (optional). Ex-officio officers shall consist of the past president and other representatives as designated by the President.

Section 3. The Chapter will hold elections for the chapter president every other year between July and September. Nominations can be made by any chapter member, and all chapter members are eligible to vote, but must be present at the election meeting. Elections shall be by majority vote of the members present at the meeting.

Section 4. Vacancies at the executive officers level shall be filled by a majority vote at the next board meeting.

Section 5. The Chapter will hold fourboard meetings during the course of the calendar year. Meeting times and locations will be determined and in agreement by all board members.

Article 5 – Standing Committees and Areas of Focus

Section 1. Standing Committees shall be chaired by the corresponding vicepresidents.

Section 2. Standing Committees include 1) Events Committee, 2) Membership Development Committee, 3) Services Committee, and 4) Community Relations.

Section 3. It is the responsibility of the vice presidents to recruit and develop committee members to assist in the planning and implementation of focal areas that will engage alumni in the region.

Section 4. Other committees and areas of focus can be created at the discretion of the Chapter Executive Board.

Article 6 – Alumni Association Staff

The appropriate member of the Alumni Association staff shall serve the Chapter Executive Board as advisor and consultant, accepting responsibility for the timely production and distribution of all promotional materials. ______is the managing staff for the Chapter.

Article 7 – Finances

Section 1. There are no membership fees or local Chapter dues to be a part of the Alumni Association.

Section 2. The Chapter Executive Board is responsible that all activities be self-supporting and designed to break-even or charge to cover costs. Additional funding is available by the Alumni Association through seed money.

Section 3. All events that have expenses must be approved by the Director of Alumni Programs, if under $2,500, or the Executive Director of Alumni Affairs, if expenses exceed $2,500.

Section 4. The Chapter may seek individual and corporate sponsorships to support approved chapter programming.

Article 8 – Chapter Communications

Section 1. The Alumni Association must approve all correspondence. This includes any paper and electronic communications to Chapter members.

Section 2. Requests for alumni databases. A written request must be submitted to the Chapter’s managing staff of reachable alumni in the region. The alumni database can only be used for Chapter-related programming and cannot be used for personal business solicitations or sold to third-party vendors.

Section 3. Contact E-mail Policy. The Chapter executive officers and committee members must provide their preferred e-mail address to receive regular correspondence from other board members, Alumni Association staff, University messages, and serve as the e-mail address used for broadcast communications. The Chapter Executive Board agrees to receive all University correspondence including, but not limited to,event e-mails, The Weekly Wave, Alumni E-Newsletter, all school-based e-mails, solicitations, and special announcements.

We, the Chapter Executive Board of the ______Waves Chapter of the Pepperdine University Alumni Association agree to the bylaws and guidelines set forth by the Alumni Association. The board understands and is in accordance with the expectations of the Chapter in living out the mission of the University through the Chapter.
