Exige Promotions and Events code of conduct and TERMS AND CONDITIONS for permanent staff and promoters.

·  Illness: 24 hour notice MUST be given. You are responsible for notifying your Supervisor so that a back-up promoter can be organised immediately. If you have a uniform, it is your responsibility to give to your replacement.

·  Kit return: it is the promoter’s responsibility to ensure that the kit is kept safe and in good order at all times. The promoter is aware that they are liable for the full replacement cost in case of any damage or loss caused to the promotional kit. Promotional kit including any uniform to wear is to be returned as specified. Payment will only be made once the promotional kit has been returned in good condition, as when received. If not received in good order from Exige or from an another promoter, please let Sandi know immediately with photos of the kit.

·  Cancellation of shift: 24 hour notice MUST be given. You are responsible for notifying your Supervisor so that a back-up promoter can be organised immediately. If you have a uniform/promotional kit, it is your responsibility to give it to your replacement. If you cancel on the day, with less than 5 hours to go until commencement of the activation, this will lead to immediate dismissal from Exige Promotions and Events, as well as deduction of pay from all outstanding monies owed. A doctor’s note or a police case number must be provided as the only acceptable cancellations are due to illness and/or an accident.

·  Non-arrival: If you cancel (or simply do not arrive on the day), this will lead to immediate dismissal from Exige Promotions and Events, as well as deduction of pay from all outstanding monies owed. The amount to be deducted will be decided on a job basis as per our client’s T&C’s and penalties. A doctor’s note or a police case file must be provided as the only acceptable cancellations/non-arrivals are due to illness and or an accident.

·  Feedback: Is due in the specified manner and timing as per each specific job brief – late feedback will result in penalty of R70 per day late, and no feedback received will result in non-payment for a job. A feedback form is given as proof of job and MUST be signed by store manager or representative present as well as the store stamp if there is one. No feedback = no pay

·  Alcohol: No alcohol may be consumed prior to or during your shift. If you remain at the outlet after your shift is complete, you are required to remove your uniform and change into your own clothing. At no time when you are recognizable as an Exige employee (or as a promoter/brand ambassador for any of our clients), may you consume any form of alcoholic beverages, even if the client offers it! Do not come to work with a hangover or drunk! Do not come to work smelling of alcohol. If you are caught drinking during your shift you will be immediately dismissed without pay. If caught drinking while wearing branded clothing during breaks, pay will be deducted and you will be dismissed instantly.

If you arrive at work smelling of alcohol or hungover, this will lead to instant dismissal as well as having pay deducted.

·  Illegal substances: As with alcohol the use of any illegal substances will not be tolerated and usage thereof will result in immediate dismissal. If caught using any form of illegal substances during your shift, you will not be paid for this shift nor for any previous work done where payment is still outstanding.

·  Smoking: Smoking is strictly prohibited. No smoking will be allowed during your shift, unless you are working on a cigarette promotion and the client allows this (exclusively for any cigarette promotions). If caught smoking during your shift, pay will be deducted and if client chooses, you will be instantly dismissed. The smell of smoke will also not be tolerated – please ensure you do not smell of smoke while working. If you remain at the outlet after your shift is completed you are required to remove your uniform and change into your own clothing. At no time when you are recognizable as an Exige employee (or as an employee of any brand/client that we promote for) may you smoke, even if the client offers it.

·  Chewing Gum: Chewing of gum is strictly prohibited. No gum will be allowed during your shift, unless you are working on a chewing gum promotion and the client allows this (exclusively for any gym promotions). If caught chewing gum during your shift, pay will be deducted and if client chooses, you will be instantly dismissed. If you remain at the outlet after your shift is completed you are required to remove your uniform and change into your own clothing. At no time when you are recognizable as an Exige employee (or as an employee of any brand/client that we promote for) may you chew gum, even if the client offers it.

·  Cell phones: No cell phones may be used for personal reasons whilst on duty, unless it is in the case of an emergency, In case of emergency, please inform the manager/supervisor and ask if you can leave the stand and not be in view of consumers while answering the phone. Cellphones may be used on breaks, BUT no cell phones must be used in public at all IF you are wearing a branded uniform at any time if you are at work.

·  Appearance and attitude: Untidy appearance or bad conduct will NOT be tolerated. Hair needs to be clean and tidy and make-up natural for the ladies unless specified otherwise. Gents to be cleanly shaven, unless otherwise specified. Dresscode must be adhered to at ALL times – if you are not dressed correctly (including your physical appearance, as specified when briefed), pay will be deducted. As a part of appearance, you are obligated to inform us of your pregnancy, as soon as you start showing we will unfortunately not be able to use you OR have to limit which work you are able to work on. Eg. We cannot have a pregnant promoter working on alcohol or cigarettes.

·  Punctuality: Ensure that you report at the agreed time prior to start of your shift. You are usually expected to be at the promotion 30 minutes before a promotion, If you arrive late to this even by 5 min, you will not be paid for the first hour of work! The agreed time prior to the start of the shift (ie. The 30 minutes) are unpaid – they are for setting up and ensuring all is ready to work. The agreed time to report to your shift will be specified in each specific work brief.

·  Clients: Exige Promoters are not allowed to work for clients directly if you have worked for them via Exige before for a period of 1 year – you MUST refer them to Exige Promotions to book you on a job. You are also under the obligation to let us know if a client contacts you directly! And, you may under NO circumstance contact a client directly!

·  Client confidentiality: you are NOT to discuss with anyone (client, fellow promoters, or any other third party) how much you are being paid nor divulge any client confidential information (eg. cell phone number, email address etc)

·  Indemnity: I hereby agree to keep Exige Promotions and Events, its management and staff fully indemnified against all claims, loss or damage whatsoever in respect of death, injury, disability or any loss or damage to myself and my property arising from any cause in connection with the promotion/activation/campaign/event that I am working on.

·  Terms and conditions: Exige Promotions and Events reserves the right to change and update the terms and conditions at any time without prior notification. The latest copy of the terms and conditions will be emailed alongside the brief for each and every job. It is the promoter’s responsibility to read the terms and conditions and be aware of these prior to working.

·  Payment: The promoter acknowledges that all details submitted on the staff invoice are correct and Exige Promotions and Events will not be held responsible if banking details are submitted wrongly and therefore payment to a wrong account is made based on the staff invoice received and will not be paid again unless the payment bounces.

INVOICES ARE TO BE SENT WITHIN 1 MONTH OF ACTIVATION, OTHERWISE THE FEE WILL BE CONSIDERED VOID.

Payment will be made once received from the client, which is usually between 2 to 4 weeks after last date of activation of a campaign.
