Animal Science Ph.D. Certification Form

Students should note that institutional verification that the requirements have been met occurs at one major point: request for the prelim exam. It is the responsibility of the student and major professor to routinely monitor progress to ensure that requirements are being met. Students should meet with their committee once per year. It is highly recommended that the student keep a copy of this form and review it each semester to avoid unpleasant surprises later.

Instructions

First Year of Study

1.Approval of coursework. The student will meet with their major professor to identify essential courses to fulfill Departmental requirements and courses necessary for their particular major emphasis. This should be done within the first semester of study.

2.File Ph.D. Certification form with the Student Services Coordinator. This form establishes how the student will meet their minimum requirements for the Ph.D. and how the student will fulfill their teaching requirement. This form is to be filled out in consultation withthe student’s major professor within the first semester of study.

3.Select a preliminary examination committee by filling out the Exam Committee form. This should be done as early as possible in the within the first year of study.

4.The Certification form and the Exam Committee form will be reviewed and approved by the Departmental Graduate Academic Sub Committee. Any subsequent changes on the Certification form or Exam Committee form should be submitted to and approved by the Departmental Graduate Academic Sub Committee.

*Failure to complete these three steps by the end of the first year of study will result in a hold on subsequent registrations.

Coursework Nearing Completion

1.Schedule a preliminary examination by consultation with advisor and committee. Prelim should be during the last semester of course work or soon after course work completion, and prior to beginning the third year of study.

2.File Request for Preliminary Examination with the Student Services Coordinator one month prior to exam. Department then requests warrant from graduate school after checking that requirements have been met. If approved, the GraduateSchool issues a Warrant, which is the official record of the exam results.

3.Result of the Preliminary Examination is then reported to the Department. If passed, the warrant should be signed and returned to the department who then returns the warrant to the Graduate School. If all requirements, except completion of the thesis are met, the student is then classified as a dissertator.

4.Once dissertator status is attained, the student must register for 3 credits EVERY semester (Summer if on an assistantship) until the Ph.D. is completed. Failure to do this will void the Ph.D. candidacy. You also must complete the degree within 5 years or re-take the preliminary examination.

5.Following successful completion of the Ph.D. oral examination, the student Ph.D. candidate is required to prepare a research proposal in the format of a grant request to an extramural funding agency. On completion of the proposal, it will be distributed to all Ph.D. committee members and the candidate will arrange a time to present the proposal to the committee for their comment.

When Research Completed (or nearing completion)

1.Students are expected to present an exit departmental seminar in the Fall semester prior to their graduation.

2.Complete thesis. As the thesis near completion is a good time to check the GraduateSchool calendar regarding various deadlines for graduation for the semester. Graduate school has very strict deadlines, missing it could delay your diploma.

3.Confirm final examination committee and schedule exam.

4.Request your final warrant from department one month before exam is scheduled. See the Student Services Coordinator in the Animal Sciences Department to request your final warrant. Department determines if all requirements have been met, then files the warrant request with the GraduateSchool.

5.At this point, you should check with the Registrars office to be sure there are no holds (i.e., unpaid fees, library fines, etc.) that can delay graduation.

6.Prechecks: Prechecks are used to answer formatting questions, embargo/delayed release questions, or questions related to the degree granting process. You may bring in eight to ten pages to be reviewed by the degree coordinator at your precheck appointment. 7.Final Exam: Committee members may require changes to the thesis before signing the warrant, they may sign after the exam. Otherwise, the Warrant should be signed at the exam.

8.After passing your oral thesis defense,and completing the committee mentor changes to your thesis:

Dissertation submission:

Doctoral students need to submit their dissertations to the Graduate School by the degree deadline in order to graduate in the final term in which they are enrolled.

Submitting the signed final doctoral degree warrant:

You are responsible for submitting your signed final warrant to the Graduate School. You area expected to upload them as a PDF to ProQuest along with your dissertation. If you would like to do a final review, in person, with the Graduate School, you can take your signed final warrant with you. Please do not mail your PhD warrant to the Grad School.
