LETTER OF INSTRUCTION OF MONTHLY COUNSELING CHIT

1. Purpose. To counsel MIDN regarding their academic status, progress within the battalion, standing outside of the battalion, and answer any key concerns they have regarding the unit and/or their personal lives. To also give the counselor the ability to objectively evaluate the status of their MIDN and make changes/recommendations if necessary.

2. Action.

  1. Counselor should coordinate with counselee on a proper meeting time,when both are available, and meeting place, where counseling can be done in a private, one on one format without interruption.
  1. Counselor is to have all enclosed documents with him/her, have reviewed the guided questions beforehand, and planned a series of questions to ask.
  1. Counselor is to write down the answer to the question which he/she has asked making sure that he/she is asking at least five to six questions regarding each subject matter. Counselor is not to be filling out the enclosed monthly counseling chit while the interview is being conducted but should do so after all answers have been recorded and interview concluded.
  1. Counselor should attempt to find out any issues regarding the counselee during the counseling session and report these findings up the battalion chain of command or to unit staff depending on severity. Counselor is highly encouraged to make recommendations to the counselee if he/she believes that the issue can be resolved at their level or with little outside involvement. This should be done smartly.
  1. Counseling sessions should last no more than thirty minutes and should be conducted in an informal fashion though a professional atmosphere should be maintained.
  1. Chits should be filled out electronically: typed in ALL CAPS in Courier New 10 pt font. Five lines per section should be maintained and the down arrow should be press at the end of each line before continuation of typing. When referring to counselee, SNM, said named midshipman, should be used and must be used correctly
  2. At the bottom of the form, MIDN should hand print their names in ALL CAPS on the “I, ______, certify…” and sign where appropriate. (i.e. I, MIDN _/C JOHN JONES)
