Collection Guidelines for Collegiate Chapters

Documents that are archival shall be transferred to the Sigma Sigma Sigma Sorority National Archives on a regular basis and in accordance with schedules set forth by the Archivist. Access to transferred files will be determined through the Sigma Sigma Sigma Sorority National Archives Access Policy.

Materials added to the Archives shall possess historical and organizational properties, which are in accord with the Mission of Sigma Sigma Sigma Sorority. All collegiate chapters are required to submit materials to the Archives on a yearly basis.

Collected materials include, but are not limited to:

●Photographs (print and digital)

●Photographic negatives

●Newspapers

●Scrapbooks

●Chapter history records

●Awards

●Chapter songs

●Books and pamphlets

●Maps

●Framed papers and works of art

●Artifacts

●Promotional materials

Materials are accepted on a rolling basis throughout the year, but chapters must submit required materials by June 30 every year.

Required materials:

  1. Group photo of all members
  2. Group photo of new member class(es)
  3. Group photo of current officers
  4. Summary of the chapter’s activities of the past year. May be submitted as either a written account, a short video, or other creative project.
  5. One-two photographs from at least one philanthropy event
  6. One-two photographs from sisterhood events
  7. One-two photographs from social events
Examples of Other Accepted Items:

●Digital copies of Chapter Awards (Sigma, campus, or community related)

○If the award is a 3D object, please contact the Archivist.

●Photos of Founders Day Events

●Photos of Chapter Anniversary Events

●Newspaper articles of Chapter accomplishments or achievements in the community.

●Photos of past or current National Presidents.

●Tri Sigma Jewelry (Badges or dated jewelry from deceased or other members)

Note: When submitting something to the National Archives, it must have a historical significance to the National Sorority and/or Mabel Lee Walton House. Each item submitted must include the name of the item, its historical presence/ importance and a return address. Items that are not found to be of true historical importance may be digitized and then returned to the owner to prevent overcrowding of the Archives Storage.

Statement of Ownership

Once submitted to the Sigma Sigma Sigma National Sorority Archives, the donor relinquishes all rights to the material. The Archives takes possession and ownership of the material, and is granted all copyright permissions. Items that are digitized and returned to the chapter belong to the chapter - the Archives becomes the owner and copyright holder of the digital copy.
