Discipline Data Validation
All discipline data is extracted from NC WISE into USDDC by Raleigh to complete the SADFS reporting. The final extract will be completed on June 16. Any incident that is incomplete/missing in NC WISE on June 10th will require the school discipline entry to be completed in both programs by the school.
1. Log in to NC WISE. Click on Main Menu and Reports. Click on Export/Ad Hoc Report. Click on Saved Exports. Click on All at the top of the screen. Highlight Incidents and click on Restore Saved Export. Click on OK. Click on Create File. Click on Go to Extract. Click on Clear Extract Criteria. Click on Schools tab and Current School. Click on Run Extract. Click on Go Back and then click on the Door icon. Click on Save as. Save the file in an appropriate location for confidential information. Make sure to name the file using “.xls” at the end of the name. (Ashley.xls).Click on Save. Click on Create Export. Click on OK. When the export is complete click on OK.
2. Navigate to the file and double-click to open the file. Click on File, Save As and save the file as file type Microsoft Excel Workbook.
3. Highlight Row 1 and click on Data, Filter, AutoFilter to activate the filters. Click on the H column drop-down menu and click on (Blanks).
4. Students without incidents will be listed. Highlight all of the rows and right-click on the highlighted area. Click on delete rows. Return to top of spreadsheet and click the H column drop-down menu. Click on (ALL). Click on the H column drop-down and click on Custom. Click on the first drop-down menu and click on is less than or equal to. Click on the second drop-down and click on the last date listed for the 04/05 school listed. Click on OK. Highlight all of the rows and click on Delete Row to delete last year’s data.
5. Click on the H column drop-down menu and click on All.
6. Click on the L column drop-down menu and click on (Blanks). The rows will list incidents in NC WISE that have incomplete incidents. Any incidents listed will need to be completed in NC WISE. Print the list and click on the drop-down menu for the L column and click on ALL.
7. Use the filter drop-downs to check other possible errors.
Possible Errors
1. Inaccurate incident dates. (08/20/2020)
2. Check the incident dates that are the same for fighting, etc that should be the same incident number. Verify in NC WISE that both/all students are listed in the same incident occurrence by navigating from the main screen to: School, Incident Reporting, School Incident List. Click on Incident D… to sort by date. Scroll down to view incidents. If more than one student was involved in the incident, there should be more than one student listed under the Students Involved column.
3. All consequences/actions have not been entered.
4. Make sure “Incident Occurred Time” is complete for all incidents.
5. High Schools: Review Griffith referrals. Report to CO any students who did not have the referral entered into NC WISE and they have already been withdrawn from your school. Days suspended from sending school needs to be correct.
6. Check all PD/RO offenses to make sure the Police/911 radio button is checked. Navigate to School, Incident Reporting, School Incident List. Click. Scroll down to view incidents. To verify check Incident Details.
7. Navigate to School, Incident Reporting, School Incident List and scroll down to make sure there are no incidents with a “0” in the “members” column. The incident needs to have a perpetrator added or the incident needs to be deleted.
