Using Write-N-Cite to create citations and a bibliography in Word

Write-N-Cite is an added function within Word. It is automatically available in any University of Ulster Common Desktop Environment computer E.g. in a computer laboratory or Learning Resource Centre. It can also be downloaded onto a personal computer at home or office as part of the process of registering with RefWorks. You must have registered with RefWorks, have carried out literature searches using other catalogues or bibliographic indexing databases, and have downloaded relevant references into a RefWorks folder. The example below uses a case study of marketing a computer game with references from the ProQuest Newspaper Collection .

1.  Create and save a Word document. Place the cursor where you want to place a reference.

2.  Click on the Write-N-Cite icon on the Word toolbar or from the choice under Tools or under Add Ins depending on which version of Word you are using.

3.  You may be asked what higher education institution you are in: Type in Ulster in the search box; then click on University of Ulster.

4.  On the Athens login screen click on the link to:

Go to the University of Ulster login page.

5.  Type in your University of Ulster portal network username and password.

6.  Click on [Login].

7.  Click on the link against Write-n-Cite.

8.  The Write-N-Cite software opens RefWorks.

Click in the box for Always on top.

Click on View, select Folder ; select the folder with the relevant references.

9.  Write-N-Cite opens a read-only version of your RefWorks account. Click on View then open the relevant folder where you have saved the details of the references you have found in your literature search. You can change the Sort by option from Author to E.g. Publication Year or Periodical.

10. In the Write-N-Cite window click on Cite against the reference you wish to insert.

If you want to check the full details of the reference before you import it click on View.

11. The Reference is inserted into the Word document within {{ }}.

12. Continue word-processing your Word document. Insert a reference where your cursor is by using the Cite link in the Write-N-Cite window. You can include more than one reference at any one point.

Note that the number in the Word document, E.g. 625, refers to the number of that reference in your RefWorks database. It is not the number or order of references in your Word document – this will be sorted later.

13. Complete your editing of the Word document and save it. Always keep this original copy as a backup in case you need to re-edit or change the format of the referencing later.

14. In the Write-N-Cite window click on Bibliography.

15. Scroll down through the Output Style and click on your preferred referencing style for a particular organisation E.g. the APA – American Psychological Association; a publication E.g. Lancet ; a standard method of referencing E.g. Harvard – University of Ulster – Royal College of Nursing. Variations of the Harvard referencing method is the standard for many University of Ulster departments.

16. Click on [Create Bibliography].

17. The bibliography is processed into a new manuscript Word document.

18. Close or minimise this Write-N-Cite window.

19. Save and close the original Word document.

20. Display the new manuscript Word document . It may be called Final – name of your document.doc. All the correct referencing should be in place through the text of the document. A bibliography / reading list will be created at the end. This is the file / document you should Print and Save.
