BYRAM DAY AT WATERLOO VILLAGE 2015

General Information

Byram Day 2015 will be held Saturday, September 26 from 11:00 am to 5:00 pm along the Morris Canal atWaterloo Village, Byram Township. The rain date is September 27.

Byram Day provides an excellent opportunity to promote your products/services to the thousands of visitors attending this annual event. Thanks for joining us this year!

Please review all information provided herein, complete an application (Non-Food Vendor or Food Vendor) and return with payment no later than September 1, 2015. Applications received after September 1 will be charged a $20 late fee ― assuming space is still available ― so pleaseregister soon!

All exhibitors/participants (herein referred to as vendors) are responsible for their own display set-up: Please bring tape, staplers, extension cords, etc., as well as your own tables, chairs and tents. Space sharing is permitted.

Please note: This year’s Byram Day celebration will take place on the far side of Waterloo Village, adjacent to the scenic Morris Canal! Vendors will be dispersed along the canal; next to gravel roads; in small fields; and among the village’s 19th-century buildings. The new location provides more room between vendors; it also features a natural, rustic landscape with small slopes and hollows: Vendors should come prepared to level their own tents, tables and equipment. Please also bring your patience and express good cheer to all Byram Day volunteers working to transform this new location into another terrific Byram Day experience for all.

For your convenience, vendor space assignments will be available on the town’s website (www.byramtwp.org) by the evening of Sept. 20. Go to www.byramtwp.org, click “Parks & Recreation” then “Events” then “Byram Day” then “Vendor Information.” The post will include a map of the historic village, vendor assignment numbers and parking information.

The following items are not permitted for sale or distribution at Byram Day: silly string; spray hair paint; swords; bats; toy guns and knives of any kind; water guns; “fart bags;” stink bombs; inflatable items larger than 18 inches; and any items producing excessive litter. If you are told to stop selling an item, remove it immediately and place it out of sight.

Vendors will not be limited by product/service categories or type of food items offered. As such, the vendor group may include more than one hair salon, real estate firm, Avon representative, etc., and more than one vendor of cheeseburgers, hot dogs, ice cream, water, etc.

Avoid duplicates ofyour primary food offering by being as creative as you can within your budget and manpower. To find out which food items already have been registered, feel free to contact Joe Visceglia at 973229-2026 or ― but keep in mind that the food list grows with every additional vendor registration.

Only non-profit organizations supporting Byram Township may sell food. Amaximum of ten food items may be sold per vendor, and all items must be recorded on the application.

Food vendors must provide proof of insurance naming Byram Township and the N.J. Department of Parks and Forestry as additionally insured. Proof of insurance must be attached to your application.

Food vendors also must assure that their booths comply with N.J. Uniform Fire Codes and Dept. of Health regulations. Vendors with cooking apparatus must have a Class K portable fire extinguisher. Propane tanks must be secured. Tanks and all other cooking apparatus must not be under a tent and must be at least five feet from the public. Each food vendor must have a hand washing station. A complete list of regulations follows in this packet. Food vendors will be contacted by the Dept. of Heath prior to Byram Day and may be inspected by the Dept. of Health during the event. The Fire Marshall will inspect all cooking areas prior to event opening.

All vendors must read and agree to follow the Dept. of Health codes included in this packet.

Set-up begins at 8:00am. Vehicles must exit the Byram Day area by 10:00am and be moved to the off-site vendor parking area. No vehicles may enter the vendor area after 10:00am or before 5:00pm. All vendors should begin break-down at 5:00pm and exit the village by 6:00pm.

When you arrive, please stop at the Vendor Checkpoint for your parking pass and entrypacket. Please remove vehicles from the field as soon as possible (by 10am latest) and park in the designated off-site parking area.

Participants must abide by instructions from the State Park Police, Byram Police, Byram Fire Department, Byram DPW, Byram Day Committee and all parking attendants.

Please come prepared with small bills and change, as our local banks close early.

N.J. UNIFORM FIRE CODES AND DEPT. OF HEALTH PERMIT REGULATIONS
The N.J. Uniform Fire Codes for Byram Day 2015 are as follows:
·  No cooking under tents
·  No deep fryers under tents
·  No cooking with grease laden vapors under tents
·  Canopy should be open on (no side walls)
·  Can use charcoal or LP-gas (e.g., propane) for fuel
·  Canopy (tent) fabric is flame resistant
·  Combustible materials and excessive trash shall not be located a minimum of 20 feet from a canopy.
·  LP-gas containers are located at the outer edge of the canopy, a minimum of 5 feet from the heat producing appliance
·  The containers are protected to prevent damage by vehicles or other hazards (pedestrians)
·  The LP containers are securely fastened and free of leaks
·  Safety relief valves are pointed away from the canopy
·  Occupancy under the canopy is restricted to those persons necessary for food preparation only. Food may be served from the outer edge of the canopy. Suitable barriers should be provided to maintain a cooking distance of not less than 5 feet between areas accessed by the general public and the cooking equipment.
·  A Class K portable fire extinguisher is required for each cooking location.
·  Storage of combustible items required for food preparation or serving is limited.

The N.J. Dept. of Health Codes for Byram Day 2015 are as follows:
·  Each food vending booths must have a hand washing station: water, soap and paper towels.
·  Patrons and servers may not reach into a jar for unwrapped cookies. All homemade items must be individually wrapped.
·  A display sign should state if goods are homemade rather than prepareda commercial kitchen.
·  Canned and bottled drinks sold out of a cooler should have 1Tbs of bleach added to the ice/water in the cooler. Each can/bottle should have its top wiped off before given to a customer.
