Position Summary: Coordinates various business operations including accounting assistance, human resources support, and facilities management.

General Duties and Responsibilities:

Accounting Assistance

  • Coordinate payroll timesheet process, summarize timesheets, and maintain eTimesheet function.
  • Maintain payroll information in online third-party payroll vendor system.
  • Transmit (via telephone) semi-monthly payroll to third-party vendor.
  • Assist with reconciling timesheets to pre-processing payroll reports.
  • Prepare receipts (credit cards and checks) for deposit and process deposits.
  • Accounts Payable data entry.
  • Organize paperwork for company credit card charges.
  • Assemble checks and backup for signature.
  • Assist with assembly of documents for auditors and other internal/external fiscal reviews.
  • Maintain complete and orderly Accounts Payable files.
  • Assist with preparation for audits and fiscal reviews

Human Resources Support

  • Post job notices, manage resume/application submissions, and complete background checks.
  • Obtain government and benefits forms from newly hired staff.
  • Orient newly hired staff to office procedures, employee handbook content, and facility access and security.
  • Process employee benefits, including enrollments and terminations of employee benefits.
  • Maintain orderly, complete, and confidential personnel files (including AmeriCorps personnel files).
  • Coordinate selection, purchase, and dissemination of staff anniversary acknowledgements.
  • Manage electronically archived job application paperwork.

Facilities Management

  • Oversee, coordinate, and arrange for facilities maintenance and space and furniture modifications.
  • Coordinate staff office moves.
  • Assist with office use-of-space planning.

Business Operations Support

  • Manage contracts with funding sources.
  • Manage vendor relationships including negotiating agreements and troubleshooting billing and other issues (could include Dex directories if not all canceled).
  • Manage business registrations (licenses, websites, web hosting, access, etc.).
  • Develop and document procedures for relevant bodies of work.
  • Assist with business continuity, disaster recovery, and emergency and safety planning.
  • Coordinate other business management projects.
  • Maintain and organize data on the company network.
  • Maintain and manage archival records.

Other

  • Perform other duties as assigned.
  • Work on-site at the WithinReach office during regular business hours unless otherwise agreed upon by supervisor.
  • During inclement weather adjust time and place of work as directed by supervisor.
  • Represent WithinReach to other staff and in the community in a brand-aligned manner -- Friendly, Informed and Responsive.

Required Qualifications:

  • Minimum five years working as an Accounting and Operations Coordinator (or similar position) in a fast-paced, quality-driven, mid-sized company.
  • Experience in human resources, payroll, bookkeeping, database management, records retention, and facilities management.
  • This position requires access to a car, a valid driver’s license and the ability to lift 20 lbs.

  • Excellent analytical and troubleshooting skills resulting in effective recommendations and solutions.
  • Ability to handle multiple assignments and projects to meet deadlines.
  • Ability to be flexible, work under pressure, and work both independently and with others.
  • Very high level of attention to detail.
  • Ability to keep sensitive information confidential.

Salary & Benefits:$52,000-$55,000, DOE,Full-Time (40 hours/week). Excellent benefits include fully paid medical coverage, vision and dental for employees and generous coverage for spouses, partners and dependents. Paid time off and employer-matched retirement plan.
