We, the undersigned, being a quorum of the members of the Board of Directors of the Saunders Lake Homeowners Association, execute and adopt all the matters and take the action set forth this Wednesday, 17th day of November at 7:02 PM pursuant to the foregoing call and notice.

Approval of the August 2010 Meeting Minutes

Old Business

Mailbox Maintenance:Mailbox posts throughout the subdivision are showing signs of wear and tear and it was unanimously decided that the HOA will be re-staining all of them in the Spring of 2011. We will be obtaining bids early next year and consider the method options for completion. Last time the mailboxes were stained by the process of removing all the metal boxes and spray staining the posts and rails and then reinstalling the boxes. It will be considered whether hand staining without removal of all the boxes might have a more lasting result. The previous method lasted approximately 2 years and if we could extend that to 3 years between staining jobs that would be beneficial. Some members of the HOA did complain that their posts were unacceptable this past summer and asked for the stain color so they could touch them up themselves. This board expressed that the consistency in color is important to the overall result that is achieved, thus having old stain, new stain, and various shades of the color would not be desired.

Watershed District Requirements:Measurement of pond depth will be due to be redone in the winter of 2112-2113 again. Monies are set aside annually for dredging project if it becomes necessary.

Seal Coating: Common sidewalks were completed in fall of 2009 and 9 individual homeowners driveways were done in Spring of 2010 by Deering Brothers Sealcoating Company.

Common Ground Maintenance: Larson Landscape did the mowingfor the2010 season. The plan was mowing every 2 weeks, but with the rainy spring season the grass did grow very tall on several occasions within the two week interim. Residents felt compelled to cut parts of the common area abutting their properties which resulted in inconsistent heights of grass along the Hyw 110 frontage. Fertilizer weed control was done 4 times during the season by Greener Image. Monument clean up and general maintenance was done in early spring by volunteer board members, was very successful in appearance and saved several hundred dollars for the association with savings on labor and raw material costs by using bagged mulch and top soil and grass seed purchased from retail stores.

Pond Duck Weed Treatment: Weed killer purchased last year was dispersed in both ponds by

Bob Dircks and Bob Kallay in June.Plan is toaccomplish a second treatment in the near future

with product purchased for this season’s application. One volunteer for dispersal came forward

foreach pond. The results on the small, round,south pond were quite successful with the one

treatment, but there continues to be a lot of actively growing Duck Weed on the long, narrow,

larger, north pond.

Front Monument Lighting: Mark Schmidt Electric handled this project in the past and recently

we have had someproblems with lights out at the monuments. Currently both sets of lights on

the north monumentsat each entrance are out, that is a total of 4 of the 8 lights are not

functioning. Perhaps if SchmidtElectric does not wish to tackle this problem,we will bid the work

out. Goal is to get lightingfunctioning in Spring of 2011.

Treasurers Report

  • Matt presented the financials.
  • Financial Summary: Total Current Assets 40,672, Reserves $32,100, Equity $8,572. Net Income is $1,846 to date. Projected income is estimated to be $736 in 2010.

New Business

Dwight Seward had volunteered for the position of “Webmaster” at the May 2010 meeting and has the paperwork dealing with password and access codes that were passed on by Randy Hosilyk when he moved from the neighborhood.More recently Dwight has also moved from the neighborhood, thus attempts will be made to contact him and retrieve the access information for the website. We are still looking for a member in the association interested in this role.

ARC Business: Contacted this quarter by homeowner wishing to replace worn out fence railing with new type which is metal and wood instead of all wood. It was not felt this would require an ARC approval form since dimensions were the same, just different materials used.

Large berms added during landscaping should be approved by ARC as they may block neighbors views, but in general planting trees and gardens does not need to be approved by ARC, just major landscaping projects that might change water flow or views for neighbors.

Siding and roof replacements that do not involve a color change do not need to be approved by ARC, however homeowners must fill out an application if a color change to roof of siding is planned.
