EXAMINATION OFFICERS NEWSLETTER - SUMMER 2013 V2
Welcome to the Summer Newsletter. The Summer Upgrade 2013 (7.152) will have a new feature for Examination Organiser. Prior to this new functionality, the process of adding non-EDI results has been complicated to say the least. A new data field in the Edit PI Data screen allows you to input the QAN code (Qualification Accreditation Number) for the specification. Once this has been entered, the remaining fields will automatically populate. When you enter a grade the equivalences and points score will automatically populate. As advised in the Examination Officers June Newsletter 2013 – Non-EDI results should be entered once the Summer Upgrade has been deployed.

THE UPGRADE WILL BE AVAILABLE AS FOLLOWS:
Hosted (Terminal Server) Schools - Friday 19th July/ Saturday 21 July
Upgrade Service Schools - Will be contacted to book dates for the upgrade
Own Upgrade Schools - Files will be available via SOLUS on Friday 19th July - schools should be aware that an IT Technician should be on-hand to complete the upgrade so that the non-EDI data can be entered, allowing the information to appear in the PI Tables.
A PowerPoint is available from the Scomis webpage outlining the process step by step for importing QANs, linking courses and entering non-EDI results. The PowerPoint is divided into three parts and covers the new functionality within Course Manager and Edit PI Data within Examinations Organiser. It would be useful to draw the PowerPoint’s to the attention of the person responsible for Course Manager at your school. Examination Officers – Part 2 will show how the new Edit PI Data will work.

Two key points to be aware of prior to downloading results and before the PI Data Collation routine is run:
- The latest QAN Catalogue needs to be downloaded and imported.
- There is a new Performance Measures File that needs to be downloaded and imported.
Please download the latest QAN Catalogue from theDfE website. You will also need to download and import the Performance Measures File. Both of these can be downloaded as soon as possible into a folder you can access. The Performance Measures File is a ZIP file and therefore requires extracting. Terminal Server schools – please ensure you save these into a folder you can access within Terminal Server) - thenONCE THE SUMMER UPGRADE HAS BEEN COMPLETED, import this file into SIMS | Tools | Statutory Return Tools | Import DfE QAN Catalogue (you will not see the Performance area unless you have upgraded).

There are also 2 new reports available from the route Tools | Statutory Return Tools | Import Qualification Data. At the base of the screen you will see Review QAN Import with the new reports for Certification Elements without QANs and Certification Elements with Unmatched QANS. These will allow you to check the integrity of the QANS in the basedata. Both of these reports check the QAN information held for the past 4 years.

If QCA Codes are missing, then the Broadsheet Review Report will not acknowledge that particular Award.

OCR NATIONALS BASEDATA & RESULTS:
OCR SENT OUT AN UPDATE TO ALL EXAM CENTRES ON 9 JULY 2013. PLEASE ENSURE YOU READ THIS AND CARRY OUT THE RECOMMENDED STEPS AS ADVISED BY OCR.

- Setup Exams embargo
- Tidy Examin Directory – archive results files into a folder – rule of thumb – only keep a year in archive folder.
- As soon as the Summer Upgrade has been applied, update QAN catalogue and Performance Measures xml file and add any non-EDI results.
SUBJECTS TAUGHT WITHIN ONE CLASS EG ENGLISH AND ENGLISH LITERATURE:
If this is the case, the analysis results will show all results under English. In order to separate these see document entitled:
English and English Literature all taught under English?
Also applies to Media taught in English or Statistics taught in Maths.
PROBLEMS IMPORTING LARGE RESULTS FILES:
If you experience problems importing a large file, please contact the Scomis Service Desk and we will split the file on your behalf.
