Guidelines on How to Write the Workshop Report

(Please send the report to Pixel within 15 days after each workshop)

Introduction

Workshops have to be organized in the framework of WS 1, WS2, WS3 and WS 4. 40 Participants (the project teams of all partners) will attend the workshops. The additional number of participants up to 40 is reserved i.e. for representatives of national ministries and experts of national networks.

At the end of every workshop, the partner in charge should produce three documents:

1)  Minutes of the Workshop

2)  Report of the Workshop

3)  Specific Report as indicated in the related WS (guidelines for the creation of the specific reports are produced by the project coordinator JM MV, DE

These are the general guidelines on how to create your workshop minutes and report, if you feel that there is extra information to add, then please do so.

However, please try to follow the guidelines as much as possible wherever possible, (i.e. don’t leave information out) so as to produce a consistent report.

Because, in the Report you will have to provide an assessment and evaluation of the Workshop, you are invited to use the enclosed Example of Evaluation Form to be delivered to the workshop participants at the end of the workshop.

Template for the Minutes and of the Report of the Workshop

The minutes must be written in English. The main body of the text should be written using the Arial font and single spacing with 10-point interlining spacing. Be sure your text is fully justified—that is, flush left and flush right. Please do not place any additional blank lines between paragraphs.

All margins should be set at 2.5 cm

1)  Template for the production of the Minutes of the Workshop

The minutes should be organized according to the following structure. The minutes should be included in one single document.

Section / Contents
Programme / Please provide the list of contents of the programme of the workshop together with the information about the experts delivering the contents
List of Experts / Please provide the list of experts delivering the workshop programme together with their affiliations
List of Participants / Please provide the list of participants together with their affiliations.
Minutes / For EVERY item listed in the programme please report what happened during the workshop in terms of:
-  Contents delivered
-  Feedbacks
-  Conclusions

2)  Template for the production of the Report of the Workshop

The report should be organized according to the following structure.

Please provide a separate folder for each section indicated below

Introduction / Please provide an introduction document with the following information:
§  Description of the strategy used in order to involve the participants (e.g. direct telephone contacts, mailing, publication of newsletter etc)
§  Type of target groups addressed (e.g. experts in the field, directors of prisons, etc)
§  Geographical areas where the information avbout the workshops was promoted
§  What material did you use for informing the potential participants? (e.g. power point presentations; leaflets; brochures etc.)
External Experts involved / For every expert in charge of delivering the workshop please provide a short CV (about 15 lines each) detailing their expertise and experience as well as their affiliation.
Participants involved / Please provide the list of participants involved and their affiliations
Proof of Participation / Please provide a scanned document collecting the signatures of each of the participants
Materials / Please provide materials used and delivered during the workshop (e.g. ppt used, documents distributed etc.)
Photos / Please provide pictures taken during the workshop (10-20 pictures)
Conclusions / Please describe the overall conclusions and final decisions adopted
Evaluation / Please write one page describing the results of the evaluation. In order to do so, at the end of every workshop please deliver the evaluation form attached at the end of this document. The form may be changed and adapted.
