Purpose

To ensure that visits to government officials or external partners are well planned prior to the meeting and that new information learned is captured after the fact.

How to use

Numbers 1 & 2 should be filled out prior to the meeting. The rest of the form should be filled out after the meeting. This can be done on the computer or printed out and filled in.

1. Make sure you know what you hope to accomplish during this meeting. How does this visit relate to your MHM in WinS research objectives? What specifically do you want from this individual or group? Say this very early in your meeting and then make the case (see number 2).
2. Briefly jot down the key messages you will be delivering in this meeting. These are the points that will convince the stakeholder why they should support what you want to accomplish. Try and make this no more than three basic points. In writing these points, make sure you have thought about why they should care, coming from their own perspective, not just from your own.
3. Who I/we spoke with and what they told me/us. Did you accomplish the objective from number 1? If not, what were the reasons given? Did you learn new information that you didn’t know going into the meeting?
4. What I/we observed. Was/were the official(s) positive about your suggestion or agenda? Did they seem friendly/receptive or negative/defensive? Was there any way in which the official was critical of MHM in WinSbeyond the meeting objective?
5. Did you commit to any follow-up actions during the meeting?
6. Based on the meeting, are there any other actions that you would recommend your research team take? This should include recommendations for future meetings or any other action.
