Job advert - Salford Prison Project - Part time Administrator temporary self-employed 21 hours per week to start on 3 April 2017

Salford Unemployed & Community Resource Centre (SUCRC) are looking to recruit an experienced Administrator to assist the Centre Manager and staff with the day to day running of the Centre. We are looking for someone with a strong reception and administration background and with an excellent working knowledge of Microsoft Office.

The role is initially for the month of April an ongoing temporary self-employed part time position with a view to becoming a permanent employed contract once long-term funding has been secured.

SUCRC offers a range of support services for our community, including older people, people with disabilities, unemployed people and workers who are facing difficulties.

These include educational facilities and advice & representation for people facing problems in a wide range of fields.

The ‘Closing The Gap Project’ assists people with debt management, benefits information, basic literacy, numeracy skills and IT, confidence building, healthy living and CV writing.

We also run Salford Prison Project which supports ex-offenders.

Working Hours Monday – Thursday 1pm – 4.30pm

Friday 9.00-4.30 (½ lunch break)

Self-employedStarting on 3 April 2017 for the month of April and then possible ongoing self- employed temporary contract until funding is resolved.

The post will be based at the Salford Unemployed and Community Resource Centre at 84-86 Liverpool Road, Eccles M30 0WZ and working for the Salford Prison Project.

Salford Prison Project

The Salford Prison Project is designed to work towardsthe seven pathways identified in the Reducing Re-offending Plan: Accommodation, Education, training and employment; Health; Drugs and Alcohol; Finance Benefit and Debt; Children and Families; Attitudes.

Key objectives for this post are:-

  • To assist the Salford Prison Project Manager & Officers in implementing & maintaining the administration systems.
  • To gain a greater understanding of the needs of the local community

Job Description

  • Reception duties including greeting clients visiting the Centre, handling and transferring calls and sending documents by fax and email.
  • Booking client appointments and sending reminders by text and letter. Contacting clients by phone.
  • Opening and distributing mail to all members of staff.
  • Typing letters, taking notes and minutes of meetings, reports for clients and members of staff.
  • Assisting Centre Manger; managing their Outlook diary, managing Outlook email inbox, booking meetings, arranging business and personal travel and accommodation.
  • Assisting with campaign work and in the production of resource and publicity material.
  • Maintaining the stationery stocks.
  • Monitoring and recording client information onto the database, maintaining confidentiality at all times.
  • Complete referral documentation from partner agencies.
  • Assisting in the production of evaluation, monitoring forms and procedures
  • Creating purchase and sales invoices.
  • Arranging internal and external events.
  • Responsible for the on-going update of the Centres’ social media sites.

Person Specification

  • Ability to use own initiative and to plan and prioritise own workload
  • An understanding of the reasons for confidentiality
  • Must have an excellent working knowledge of Microsoft Office including Word, Excel, Outlook and PowerPoint. These will be tested upon interview.
  • Ability to update social media accounts and the Centre website
  • Understanding of the advantages of social networking sites to promote the project
  • An understanding of office procedures
  • Taking minutes of steering committee and producing notes of meetings
  • Excellent telephone manner and confidence when dealing with people – phone or face to face
  • A willingness to work flexibly and as part of a team
  • Excellent interpersonal skills and communication skills
