Job Title: Field Services Representative

Job Description, Responsibilities, Standards and Qualifications

Job Description:

Under supervision of the Director of Member Services, the Field Services Representative (“Field Rep”) educates Full-time, Volunteer and Combination Fire Departments and their members’ on the Rules and the Law of The Georgia Firefighters’ Pension Fund. The Field Rep also performs reviews of Fire Departments and their membership to ensure training and call records are being properly maintained, and that they accurately represent that department’s training and call activity.

Job Responsibilities & Performance Standards:

1.  Performs field reviews of full-time, volunteer and combination fire department training and incident report records

1.  Makes scheduled and ad hoc visits to fire departments to inspect pension related records

2.  Evaluates fire department’s reporting and records keeping systems

3.  Reviews records and supporting documentation for completeness and compliance with Pension Fund standards.

4.  Instructs departments with respect to pension requirements and helps facilitate compliance

5.  Reports all examination findings to Director of Member Services

2.  Provides a “field presence” for the pension fund

1.  Prepares and delivers Pension Fund presentations to fire departments, fire association meetings and other recognized fire related organization functions around the state

2.  Acts as pension liaison to fire departments and fire related organizations as instructed by Director of Member Services

3.  Provides field assistance for the provision of benefits and information to members and departments as directed

3.  Performs administrative duties as specified and assigned

1.  Provides monthly reports of travel activities and departmental results

2.  Reports suggestions from the field concerning Pension Fund Rules and guidelines

3.  Performs other administrative duties and special projects as directed

4.  Maintains knowledge of current GFPF policies and procedures

1.  As requested, attends staff meetings and supervisory conferences to keep up-to-date with changes in office policies, procedures, and operating practices

2.  Reads and remains current on changes to applicable laws, rules and regulations, operating policies, procedures, and trends

3.  Attends external training related to the fire service, pension fund management, and general business practices as may be directed

4.  Properly balances priorities according to deadlines and other work-related considerations

5.  Creates and maintains a high performance work environment

1.  Demonstrates loyalty to the Georgia Firefighters’ Pension Fund and displays the highest principles of personal integrity

2.  Treats individuals at all levels with respect, courtesy, and tact

3.  Interacts and listens to individuals while maintaining a business relationship

4.  Provides clear and accurate information and directions

5.  Explains procedures or materials in a professional, courteous manner and provides supplemental information as appropriate

Minimum Qualifications

Must possess a high school diploma or equivalent G.E.D. Excellent communication skills, both written and verbal. Demonstrated competency in the use of computer hardware and software to include Microsoft Office and database management systems is a must. Also there should be a thorough knowledge of firehouse operations and terminology. Experience in, and the ability to demonstrate good recordkeeping skills. Must be available to travel away from home up to three or four nights a week.

Preferred Qualifications

Some college training, if not a certificate or degree, would be helpful. Familiarity with fire training regimen is a real plus. Some experience in records management and recordkeeping. Experience with volunteer fire service is a plus.
