Award Dictionary/Glossary

When you are new to The Award we use a lot of names, terms and words which you are probably not too familiar with - this Award Dictionary/Glossary is to help you understand them.

This is aimed at new participant, leader, volunteer or parent etc and who cannot find the meaning or you could have just over heard it but you could not get an explanation.

Its quite easy to navigate, if the words coloured (not in black) and underlined then click on it and it will lead straight to its meaning/explanation.

These names/words/titles etc are listed alphabetically – note the word ’Award’ is used several times as the first word – if you cannot find something then first look under ‘Award’ then look for your word/term.

Term/Word / Explanation / Quick Summary
Access Credit Note / A “credit note” that is issued to young people through an Access Organisation to confirm that they have completed an Award Recognised Activity for a specific Section. When the person officially joins the Award eg buy a Record book – the person can use the Credit Note to complete one of the Sections. / Access
Access Officer / the designated individual from time to time appointed by the Access Organisation who is responsible for all matters relating to the accreditation of suitable activities for The Duke of Edinburgh’s Award / Access
Access Organisation / An organisation through which a young person can complete one Section of the Award prior to enrolment. . This is usually a non-profit making organization and not the same as Commercial Access Organisations.

Accredited Assessor / A term from the Wild Country Assessor Accreditation Scheme – this is a person who has gone through the Assessor Accreditation Course, completed the required inductions and has been signed by a Wild Country Panel Secretary to show he/she has the skills/experience of the specified Wild Country Area / Expedition
Activities Log / A booklet located in the Record Book Pack to record the times of your activities – the pages can be pulled apart so that you don’t have to bring the whole log to do one section / Record Book

Award Secretary Regional Officer / These are the ‘Managers’ also called Award Secretaries (National Offices) and Regional officers (RegionalOffices) who are in charge of the Regions which contain their Operating Authorities / Award Contact
Assessor / Appropriately qualified, experienced or accredited individuals, approved by the Operating Authority, who confirm whether participants have fulfilled the conditions and requirements of a particular Section of the Award. Assessors have a different role to a Supervisor
In the Expeditions Section the Assessor is only used during the Qualifying Ventures. There is a Panel of Expedition volunteer Accredited Assessors is available for groups wishing to do Ventures in Wild Country.
Assessors Report / This is the entry written by the Assessor for a specific Section within a participants Record book. Comments must always relate to the individual and be positive and encouraging eg progress made to a agreed goal, any transferable skills(eg working with others, communication etc).

Award / The Duke of Edinburgh’s Award
Award and Youth Work / An A4 folder giving practical advice to Award Leaders on how to set and run the Award in youth work settings, eg Youth Centres etc. This is sold from ASL / Literature
Award Handbook / An A5 size book - The principal operational publication, essential of all those operating the Award. This is sold from ASL / Literature
Award Journal / This Award magazine is published three times a year (Jan, April and September) aimed at those running the Award (eg Award Leaders, Officers) and older Award Participants. Award Leaders get a free postal subscription.

A magazine aimed at Participants is called Inside Out / Promotional / Literature
Award in Custody / An A4 folder - Giving practical advice to Award Leaders on how to set and run the Award in prisons and Young Offenders institutes. This is sold from ASL / Literature
Award Leader / A person who co-ordinates, monitors and advises young people in their Award Group. Could be called a Unit leader/Group Co-ordinator etc and is usually a School Teacher, Youth Leader etc

CD Rom
(Interactive Materials) / The CD Rom contains the Award Handbook and the Programmes File plus Award Logo information. This is aimed at Leaders wishing to give participants easy and quick access to Award information on a computer at school, youth centre etc. This is sold from ASL / Literature
Award Officer / The person designated by the Operating Authority to be responsible for all aspects of Award operation by and within the organization. These may also be called an Area Co-ordinator, Field worker, development Officer etc.
The address of the Operating Authority is in your Record Book (on the back of the first page)
Award Officers Resource Pack / An A4 folder - for Award Officerswho deliver the Award in their area. Providing instruction/guidance such as: administration, policies, promotion, support, training etc. / Literature
Award Office(s) / Also known as RegionalorNational Offices – there are 10 Awards Offices plus the Head Office / Award Contact
Award Programme / A personal development programme of activities and tasks for Young People
which consists of 3 levels: Bronze, Silver and Gold.
There are 4 Sections in each level:
1) Skill
2) Service
3) Physical Recreation
4) Expedition
5) At Gold only there is a 5th Section: Residential Project.
When a level is completed and approved, participants receive an Award Certificate and Badge

Award Working in Schools / An A4 file - Giving practical advice to Award Leaders on how to set and run the Award in Schools – roles, resources, setting up, training etc. This is sold from ASL / Literature
Badge / Once Participants have completed a level of the Award (Bronze, Silver and/or Gold) they receive a Bronze or Silver badge. At Gold level they have one choice of 3 types of badge – A Gold badge or a Gold Brooch or a Gold Pin
Blue Form / An A4 application form for VenturesAbroad – for participants planning to undertake an Expedition outside of the UK. This venture must fall in line with the UK requirements of an Expedition. (NOTE this form is different from the OAP form – which is allows for more demanding ventures). This form is available on the Award website under ‘Useful Information’ then select ‘Leaflets & Forms’

Bronze Award / An Award Programme aimed at 14 year olds and above
Certificate / this is issued when Participants have completed all the Sections in one or more of the Award Levels. There is a Bronze, Silver and Gold Certificate (Gold certificates are presented at a special Gold Presentation). There are also Sectional Certificates
Certificate of Prior Learning / A certificate that the Access Organisation issues to a Young People in recognition of their achievement in an activity undertaken under the supervision of the Access Organisation / Access
Commercial Access Organisation / The Award licences a number of Commercial Access Organisations. Each of these companies supports the Award by holding a Licence to operate certain section and levels of the Award Programme. This is different to a standard Access Organisations

DEAMS 2 / Duke of Edinburghs Award Management System (DEAMS). A computer software (using Micro Soft Access) that allows management of Participants information and Record Books. This is aimed at Award Officers

Expeditions / To encourage a spirit of adventure and discovery by preparing for and carrying out an adventurous journey as part of a Team. Ventures are usually organised by the Group with their Award Leader
Quick Summary:
1) The group must consist of 4 to 7 young people
2) All Award participants must complete the relevant Training and Practice Journey(s) before beginning the Qualifying Venture
3) There are different Modes of Travel
4) The venture must be over a set period of days and meet the set amount of hours of activity in each day: Timescales
5) There must be a Supervisor and Assessor on the Qualifying Venture.
6) Accommodation should be by light weight camping
7) Ventures can be done outside the UK – and come under Ventures Abroad or Other Adventurous Projects systems.

Expedition Guide / An A5 size book – Provides detailed guidance and advice on all aspects of Expedition Training, Practice Journeys and Qualifying Ventures for all modes of travel. This is sold from ASL / Expedition
Expeditions Over to You Training Pack / This A4 training pack focuses on the Expeditions Section and aims to improve the quality of this section for young people, by enhancing the quality of the Award Leader, Instructor, Supervisor and Assessor Training. This is sold from ASL / Expedition
Expedition Safety Card / A waterproof sheet which records emergency details and provides advice when the participant is on a venture eg The Supervisors telephone number etc. Located in the Record Book Pack. / Expedition
Expeditions Supervisors Training Pack / An A4 pack – this is to compliment existing supervisor training programmes and/or can be used as a resource for the delivery of training. This Training pack can be downloaded free on the Training Zone part of the Award website / Expedition
Explorations / This term is now NO LONGER used because it has been incorporated into the updated Expedition Section (in 2004) – it was a venture which involved less journeying and a greater proportion of time spent on a specified project/activity (which is now available under the single title Expeditions). A CD Rom has been designed to provide ideas/guidance on this. / Expedition
Exploration Resource Pack CD Rom / A CD containing ideas for aims/projects for Groups planning their Expedition Qualifying Venture aim. NOTE: this was used on the old system of Expedition venture called Explorations, which is now incorporated under the single title ‘Expeditions’. This is sold from ASL / Expedition
GoldAward / An Award Programme aimed at 16 year olds and above
Gold Notification Form / An A4 form which should be filled in by Participants who have just completed the Gold Award. When filled in it should be sent to his/her Operating Authority. The participant will receive their Gold Certificate at a special Gold Presentation

Gold Presentations / This presentation is for completed Gold participants, which is held at St James Palace to receive their Award Gold Certificate. Scotland participants are invited to Holyrood House in Scotland. Northern Ireland, North West, and North East based participants are also given the option of collecting their award in HolyroodPalace or St James Palace.

Green Form / An A4 application form – for people planning to undertake an Expedition in one of the designated Wild CountryPanel areas in the UK (plus Bavaria in Germany). This form is available on the Award website under ‘Useful Information’ then select ‘Leaflets & Forms’

Group / This can be understood in two ways:
1)a group of Participants working together in a school, youth centre, open centre etc on one or more of the Sections

2)a team of 4 to 7 Participants working on specifically the Expedition Section.

Helpers / This person assists the Award Leader in the administration, Organization and operation of a particular aspect of the Award.
ID Number / This Identity Number is located in the Record Book Pack – This is a reference code which Award Leaders and Officers use when administrating the Award in their areas (eg for DEAMS) / Record Book
Initial Briefing / This should help the participant confirm the choice of subject they wish to do in that specific Section. This could be done with the Award Leader, instructor, supervisor or mentor
Inside Out / Inside Out is a free magazine aimed at Participants - with input from real Award Participants and is published 3 times a year.

A Magazine for Leaders/older participants is called Award Journal / Promotional / Literature
Instructor / Approved by the Operating Authority, the instructor helps young people to acquire knowledge of and improve their skills in a particular activity, in order to comply with the requirements specified in the Award Handbook.

Millennium Volunteers / A Government funded initiative to encourage, support and accredit volunteering activities undertaken by 16-24 year olds in England

Mode of Travel / A venture planned for the Expeditions Section which concentrates on one of the following modes of travel:

My Award CD Rom / This CD is aimed at participants and the order form is located in the Record Book Pack. This has a planner, diary, CV Maker, list of Award Programmes, games and other information to help participants. / Record Book
National Governing Body / Organisation / Any Organization or body of people, with responsibility for setting activity standards, programmes, achievement levels and qualifications. Eg a certain sport governing body which is recognized by Sports England
National Office(s) / This refers to Scotland, Northern Ireland and Wales Award Offices and are responsible for the Operating Authorities in their countries. These operate in the same way as Regional Officesand can sometimes be mistakenly referred to as Regional Offices / Award Contact
National Operating Authority / This is the same as Operating Authoritybut are nationally run through a Uniformed Organisation eg: Air Training Corps, Army Cadet Force, Scout Association etc. / Award Contact

Open Award Centre / The Open Award Centres provide a facility for independent participants (people who cannot form a group or do not go to the same school etc) to become involved in the Award. Contact the relevant Operating Authority for the details/addresses
Open Gold
(sometimes Open Silver/Bronze) / These Open Expeditions enable independent participants to complete the training, practice journeys and/or their Qualifying Venture. Details are advertised on the Award Website:

Open Golds in Wild Country are usually by the Wild Country Panel Secretary / Expedition
Operating Authority / An Authority, Organization or other body concerned with the education, welfare or training of young people that holds a licence to operate The Duke of Edinburgh’s Award in its area. There is a person called an Award Officer who is in charge of the running of this Operating Authority
This is usually a Local Council Authority, Independent School, Businesses or Uniformed Organizations eg ATC, ACF etc. The address of the Operating Authority is in your RecordBook (on the first page)
