Fumigation requirements in China

Please be advised all imports to China from all countries are subject to strict fumigation requirements, failure of which will besubject to forfeiture of the wooden packages and/or the contents inside. The fumigation must be done in the origin countries.

  1. Non Wood Packing Materials for import from all countries:
Non Wood Packing Material Declaration (issued by Exhibitor – on letter-head and stamped) is needed.
  1. Exempted Scope:Those wood composite products after being heated and pressed treatment,
such as plywood, particleboard and fiberboard, veneer, core, saw dust, wood fiber and particle
and other wood materials.
  1. Coniferous Wood, Non-Coniferous Wood & all kind of Wood Packing Material for import from all countries:
Packing must be marked by IPPC (International Plant Protection Convention) officially as below.

The mark should at minimum include the:

IPPC Symbol (as reproduced above);

XX = ISO two letter country code (e.g. Germany = DE)

000 = the unique registration number assigned for the company that

manufactured or treated the wood used for the wooden packaging;

YY = IPPC abbreviation disclosing the type of treatment (e.g. HT for “Heat

treatment” or MB for “Methyl Bromide”).

DB = The letters “DB” shall be added to the abbreviation of the approved

measure to confirm the use of debarked round wood.

This tariff applies to per shipment/per exhibitor.

For airfreight shipment, our freight calculation is based on chargeable/volume weight (V : W = 6 : 1)

Exhibits of a Dangerous Nature

1 / Exhibitors need to fill out and send us a special form for dangerous goods.
Such forms will be provided upon request and the completed forms should reach us before
shipment is dispatched.
There will be at least 100% surcharge for handling such exhibits.
2 / Not all dangerous cargoes are accepted. Exhibitors must provide. Exhibitors must provide us
UN /IMCO code so that we can check if shipping lines / airlines / trucks / halls
accept the cargoes.

Dutiable Goods (Transshipped via Hong Kong)

Cigarettes, wine, spirit and hydrocarbon oil are dutiable goods in Hong Kong. Exhibitors sending such goods to Hong Kong for transshipment to China should be prepared to reimburse the official freight forwarder for duties paid when cargo arrives in Hong Kong.

Packing of Exhibits

No unpacked cargo are accepted, we holds no liability for possible damage for items that are not properly packed.Exhibitors shall be responsible for the consequences of improper packing

A/ / Protection against Damage and Rain
As the exhibits are repeatedly loaded and unloaded during transportation; shocking/bumping will sometimes be inevitable. Moreover, exhibits will be placed outdoors many times, including open-air storage at the exhibition center before and after the exhibition. Therefore, exhibitors must take necessary precautions against damage and rain, since we cannot assume any responsibility for the damage, especially when the return exhibits are to be packed with used-packing materials (the case as well as aluminum foil, plastic covers, etc., very often would have been damaged already during unpacking)
B/ / The Case
The case must be strong enough to avoid damage during transportation as well as unpacking, and in particular, be suitable for repacking and for sale for return movement after the exhibition.
Packing in cartons is not considered suitable for repeated handling, especially for valuable or delicate equipment.

Heavy and Oversized Exhibits

Exhibitors with heavy or oversized exhibits must be on-site early and direct the operation of unpacking and positioning of the heavy exhibits. If a mobile crane or forklift is required for installation of equipment, exhibitors should send their hiring requirements to the official freight forwarder in advance. A detailed layout should also be provided for better on-site operations. Extra charges of repositioning of the exhibits, upon exhibitor’s request, are at the exhibitor’s expenses.

It is imperative to mount the heavy exhibit firmly on a sturdy base with skid in order to protect the machine while being hoisted and positioned. Exhibits should be displayed on the base. Otherwise, surcharge will be incurred for removing the base from heavy exhibits. Cases for heavy exhibits should be so constructed that the sides are joined by bolts rather than by nails or screws. This will prevent the case from being damaged during unpacking and will save considerable time, especially during exhibition closing. Please mark the front side of the case clearly to ensure correct positioning. As the Official freight forwarderwill not provide any packing materials for exhibits, exhibitors should ensure that they have adequate and appropriate packing materials for repacking during exhibition closing.

Unpacking and Repacking of Exhibits

We will assist exhibitor in unpacking if exhibits. Exhibitors, however, must supervise and be

responsible for these operations. Therefore, a representative of the company must be

available on-site during the move-in period.

Similarly, during exhibition closing, exhibitors must also supervise the dismantling and repacking

of exhibits, especially for delicate or heavy equipment, as these operations will be carried out

at exhibitors’ risk. When exhibits are repacked by used-packing materials, the packing is regarded

as no longer suitable to protect the equipment against damage/moisture compared with the original. Exhibitors shall therefore bear the responsibility for the consequences arising therefrom.

Customs Clearance

We will take care Customs formalities for exhibitors. But on some occasions, the presence of exhibitors will be required. As Customs in China require the official forwarder to be responsible for the control of all exhibits, exhibitors should not allow their exhibits to be taken away from the show ground without prior arrangement with Customs through us.

Catalogs / Publicity Materials / Souvenirs / Give-away Items – Censoring

Advertising materials and technical information materials including films, lantern slides, recording tapes, video tapes, records, photos, maps, illustrations, directions and other publicity materials shall be allowed for display or use at the exhibition only after exhibitors have presented beforehand the above mentioned materials to Customs Officers for inspection and approval.

Customs may levy duties on those give-away items like product samples or souvenirs. Hence, exhibitors shall not make use of these materials before censoring and should send sample of literature (2 copies) and give-away items (2 pieces) to us together with the List of Overseas Exhibits (Form 18A). All these materials will be handed over to Chinese Customs for inspection in advance. Therefore, exhibitors should not distribute these items prior to receiving notification from us.

SLIDES / DVDs / VCDs / CDs–exhibitor/shipper needs to provide us the “Import Permit from Chinese Cultural Department” for the Customs declaration. If you have no such permit, please don’t ship those items by freight.

Insurance

As the official tariff is compiled on volume or weight basis and have no correlation with the value of

exhibits, naturally no insurance has been covered in our charges and all work is undertaken by us

at owners’ risk. Thus exhibitors should arrange a proper round-trip (including exhibition period)

all risk insurance for their exhibits.

It is advisable to insure exhibits through a company of which the Peoples’ Insurance Company of China is the agent in China. Exhibitors should also bring a copy of the insurance policy to Guangzhou. It will be required in case exhibitors need to file a claim for damage or loss in China.

Closing of Exhibition

A “Return Instruction Form”and the completed “List of Overseas Exhibits” (Order Form 18A) will be given to all exhibitors prior to Fair Close.

Exhibitors should fill-in the “Return Instruction Form” and complete the “Disposed” column on the List of
Overseas Exhibits so that they can follow. After completion, please return both documents to our
on-site office before Fair Close.
We will not be responsible for the cargoes left in the booth by exhibitors without any instruction received
Inadvance.
We will count and ship pieces they found in the respective booths at the time they clear them from
the Exhibition Hall.
We holds no liability if during that time, cargoes is not found.

Return of Exhibits

All exhibits planned to return or sold will only be arranged when all customs clearance procedures are completed. Please bear in mind under normal circumstances, the completion of customs clearance formalities after the exhibition usually takes 14 working days before affecting the return shipment schedule. Pleaseplan the further use of your exhibits and displays at your desired destination in 2 -9 weeks, varying with shipping mode and destination, on top of these 14 days. Please advise the official freight forwarder in advance if there are any exhibits and displays urgently needed for further use after the exhibition, and then we will try to work with at extra surcharge.

All Inbound/Return Charges need to be paid in full against release /collection of cargoes.

Official tariff is set in Chinese Yuan, our invoice will be issued in US$ or HK$ with prevailing exchange rate on the invoice date.

All services provided by Schenker Int'l (H.K.) Ltd. are carried out in accordance with our Standard Trading Conditions.
