Email procedures

These procedures are so that all the email outboxes are managed the same. We need a primary person in each mail box each day, like chat. The goal is that the EQ email that you open is the last email in the mailbox.OUTLOOK should be the BACKUP for EQ. Once you finish the email in EQ, you delete it out of Outlook, one for one.
DO NOT DELETE MULTIPLE EMAILS.
DO NOT DELETE AN EMAIL YOU ARE NOT WORKING ON.
1) log onto EQ

a)log on process

c)[Enter information for turning off auto-read here]

3) on EQ: on the header, quickly find something on the information to copy and search for the correct mail box

4) Find something to COPY

a) look for a weird or unique string of characters.

b) an order number

5) click accept to open the email in EQ. Then go to outlook.
a) There is a 20second window from the header until it will shut down and send you into unavailable status. If you need to you can always go back into the header from EQ.

6) go to OUTLOOK > go to the correct in box > search for this email. PASTE whatever you selected into the search box.


6) Click the flag to identify the email you are working on. This lets anyone else working in email know you are working on this email. If everyone is following this procedure, the email you are working on should be one of the emails at the bottom of the outlook mailbox.

a) if working MAIL PO or BADGE QUOTES, and two or more people are working that mailbox that day, have a quick discussion and select a category color instead of just the red flag.

EX: Michael is using green and Randy is using blue.

b) Badge Quotes. Sometimes a customer sends in multiple orders in badge quotes. These can be duplicates, and these can be all separate badge orders. EQ will still issue a single email for each of these six badge quote requests. The first person who gets the email takes ownership. Of all of them. Mark with a flag and/or category so

7) From here, you work the email like you would a call. The reply NEEDS to be sent out of EQ.
8) Once completed and you have pressed SEND in EQ, go to outlook and DELETE the email from Outlook. The email you are working on should be on the bottom of outlook. ONE FOR ONE. One email in EQ, One email in outlook.
EXCEPTIONS:

FOWARDING
When you read the email and it is not something we need to deal with:
MAIL PO
LARGE PRICE QUOTE
MANAGED ACCOUNT QUESTION
this needs to be Forwarded OUT OF OUTLOOK to the approperate person. Send the email in EQ that you have forwarded on to the approperet person to assist. Then delete from outlook.

LARGE FILES
Some large files will need to be sent out of OUTLOOK.

FOLLOW UP
Some emails will need a follow up. Please add your email as a BLIND CARBON COPY (BCC) when you send the initial reply back to the customer. Delete the original out of outlook, and then work the follow up as normal.
