GENERAL SUMMARY:

Under the immediate supervision of the Lieutenant, the Criminal Secretary is responsible for performing clerical and administrative duties related to the criminal affairs of the Sheriff’s Department.

ESSENTIAL JOB FUNCTIONS:*

  • Receives and prepares for assignment to deputies, all criminal orders of arrest issued by the Grafton County Superior Court.
  • Receives and prepares for assignment to deputies, criminal orders of arrest or warrants, issued by other courts and jurisdictions, including Small Claims Warrants.
  • Receives and prepares Fugitive From Justice extradition documents and travel arrangements.
  • Receives and assigns to deputies, under the supervision of the Lieutenant, court ordered and other official requests for the transport of detained or incarcerated defendants.
  • Maintains criminal and small claims records that include but are not limited to, hard copy andInformation Management Corporation (I.M.C.)processed criminal investigation and criminal record files.
  • Prepares and maintains such National Crime Information Center(N.C.I.C.) records as may be required by controlling authorities and then prepares case entry, modification and case removal from the system.
  • Prepares Uniform Crime Reports (U.C.R.).
  • Performs general secretarial duties for the High Sheriff.
  • Performs such other official department related duties as may be assigned by a department supervisor.
  • Renders such assistance to the Civil Secretary as may become necessary in the processing of civil documents. The Criminal Secretary must also possess working knowledge of civil procedures.
  • Maintains strict confidentiality of all information, and ensures such information is not released without proper authorization.

OTHER DUTIES AND RESPONSIBILITIES:

  • Promotes and maintainspositive community relations.
  • Performs other related duties as required.

SKILLS/EXPERIENCE/TRAINING REQUIRED:

Duties require knowledge of legal administrative skills equivalent to completion of an Associate’s Degree and one to three years of related experience in law enforcement and the criminal justice system or equivalent combination of education and experience.

Requires thorough knowledge of modern office practices, procedures and equipment.

Must possess thorough knowledge of legal terminology, as well as criminal and civil procedures.

Must be proficient in the use of the Department computer system and be able to efficiently process criminal records, wanted person information, small claims and general word processing.

Ability to communicate effectively, both verbally and in writing.

Must be able to interact well with a wide variety of people, including but not limited to supervisors, Department and other County employees, the staff of various courts and other law enforcement agencies.

Must possess and maintain New Hampshire State Police Online Telecommunication System (S.P.O.T.S.)certification.

SUPERVISORY RESPONSIBILITY:

This position has no supervisory responsibilities.

WORKING CONDITIONS / PHYSICAL DEMANDS:

Normal office environment, not subject to extremes in temperature, noise, odors, etc.

May spend extended periods at computer terminal, on the telephone or operating other office equipment requiring eye/hand coordination and finger dexterity.

Occasional lifting and carrying of supplies, files, documents, records, etc.
