WAVE Trust: Director of Operations

JOB DESCRIPTION

Job Summary

The Chief Executive is responsible for the effectivenessof WAVE Trust – to set vision and direction, develop and maintain strategic relationships, lead research initiatives and ensure adoption of the Trust’s recommendations to end violence and child abuse.

The Director of Operations is responsible for the efficient running of WAVE Trust – the successful delivery of projects, on time and within budget; marketing of the organisation and of the 70/30 strategy; recruitment, motivation and management of staff; and maintenance of the financial health of the organisation, including raising funds to underpin growth, and ensuring that sound governance is achieved and maintained.

Internal Leadership Duties

  • Develop annual plans to achieve WAVE Trust’s mission, in partnership with the CEO, and take a leadership role in budgeting, funding and executing those plans
  • Support the CEO in building a robust Organisation and Administration which ensures long-term growth and strong progress towards the Trust’s vision
  • Create and monitor standards and principles for conduct of business, making recommendations to the CEO on operating policies, systems and priorities
  • Ensure the delivery of WAVE’s goal to meet the Charity Commission’s criteria for CC10: The Hallmarks of an Effective Charity

Detailed Role

Fiscal

  • Annually prepare, with the CEO, a plan and budget for the upcoming year
  • Ensure money spent is used productively. Retain minimal staff as necessary to complete WAVE Trust projects and to carry out the mission of WAVE Trust
  • Ensure financial information is up-to-date and organised; and that all statutory returns are completed accurately and on time
  • Submit a detailed quarterly financial report to the Board
  • Introduce and lead a performance management process to evaluate the organisation’s progress against annual plans and strategic plan. Ensure ‘course correction’ when any deviation occurs from alignment with the charity’s values and vision
  • Ensure all moneys spent are authorised, and properly allocated to their due funding stream
  • Promptly inform the Trustees of any possible financial problems or irregularities

Project Delivery

  • For those areas designated by the CEO, ensure the successful execution of agreed projects, including quality control and effective management of staff and liaison with partners, clients and funders
  • Ensure there is a sound performance management process to monitor progress during projects, evaluate performance after their completion and integrate any learning into future activities
  • Complete interim and final reports for funders and Trustee Board.

Human Resources

  • Provide a strong day-to-day leadership presence to all staff. Take responsibility for their professional development including relevant understanding of such issues as violence, child abuse, neglect which are the charity’s focus
  • Create and lead a volunteer management structure, which attracts suitable volunteers and utilises them to the significant benefit of the charity and its causes
  • Establish the human resources function to ensure appropriate recruitment, coaching, job performance, performance evaluation and feedback, and compensation

Fundraising

  • Manage the Fundraiser. Maintain and develop relationships with potential funders and progress the creation of a coalition of core funders for WAVE’s role in the 70/30 objective
  • Convert annual and strategic plans into corresponding fundraising plans (including plans to fund a fund-raising team)
  • Through appropriate funded or volunteer staff, drive continuing growth in funds from potential supporters, charitable foundations, fundraising events, statutory sources and individual donors (including legacies and high net worth individuals)
  • Ensure the necessary core costs of the charity are adequately funded with unrestricted funds
  • Establish a system to monitor and measure progress on fundraising projects; to provide regular feedback to funders; and to receive, record, and acknowledge all grants, payments and donations
  • Ensure that all funds are utilised according to donor restrictions, and consistent with the mission of the Trust and its current fiscal policies

Administration and IT

  • Develop accounting and administration systems that provide the organisation with ready access to written records of meetings, correspondence, funding requests, forms, and financial transactions
  • Analyse the current technology infrastructure and scope out the next level of system requirements to support the growth of specific programmes and the organisation as a whole
  • Organise board meetings – preparing the agenda in conjunction with the CEO, ensuring minutes are taken and circulated in a timely fashion and that relevant decisions are executed promptly and accurately
