General Summary:

Responsible for administrative and clerical duties necessary to run an organization efficiently. Serves as an information manager for office, including scheduling meetings, appointments, organizing and maintaining paper and electronic files, manage projects, and conduct research. Also serve the needs of the organization and its external constituents as the institutional hub for communicating with internal and external audiences and for building and maintaining key relationships.

Essential Job Functions:

·  AFC Maintenance

·  Filing all paper documents for the Student Services department.

·  Covering front desk whenever needed.

·  Processing mail for Student Services.

·  Entering all new student inquiries into PowerCampus.

·  Mail out all pertinent documents.

·  Entering all handwritten evaluations into New Innovations.

·  Bi-Annual fitness reimbursement program.

·  Registering OMS 3 and OMS 4 students for their rotations in PowerCampus.

·  Preparing and distributing credentialing documents for rotations and early clinical experiences.

·  Backing up Time Away Request and Elective Request Forms daily.

·  Processing all Time Away Request Forms and excused absences.

·  Editing and creating Jot Forms for the Student Services department.

·  Student document maintenance.

·  Scheduling student affairs brown bag lunches.

·  Score all incoming applicants for committee.

·  Uploading applicants AACOMAS applications and letters of recommendation and assigning applicants self-service log-ins.

·  Preparing applicant documents for interviews and admissions committee.

·  Sorting and preparing evaluation comments for Dr. Acosta.

·  Release holds from evaluations after both parties have completed them.

·  Conduct appropriate and consistent with the philosophy and mission of PNWU.

·  Other duties as assigned.

Scope of Responsibility:

Knows the formal and informal departmental goals, standards, policies and procedures, which may include some familiarity of other departments within the University. Is sensitive to the interrelationship of both people and functions within the department.

Flexibility to work as part of a team as well as independently to meet goals in a fast-paced, deadline-driven environment. Sound judgment and discretion in handling confidential information as well as ability to conduct oneself in a highly professional manner. Highly responsive to requests and has a commitment to providing high quality service. Maintains a customer service demeanor at all times.

Authority/Supervision:

May include responsibility for supervising an assigned staff member.

Education:

Required: High School Diploma or GED

Two years college or equivalent work experience


Preferred: A bachelor’s degree.

Experience:

Five years of related experience required. Additional education may be substituted for years of work experience.

Certification:

Required: No Requirements.
