Entering Receiving ESL Services Code

In PowerSchool

·  Log into PowerSchool

·  On the Start Page, enter the name of the student you need to work with and hit enter

·  In the left-hand column under Information click on State/Province – VA

·  Under the General tab, scroll to the bottom and look for “Receiving ESL Services Code”—at the bottom of the page

o  Choose 1 for students who are identified as ESL (Access for ELLs levels 1 through 5) and are receiving services, including students who are considered as consultation only

o  Choose 2 for students who are identified as ESL (Access for ELLs levels 1 through 5) but have refused services

o  Choose 3 for students who have exited ESL (Access for ELLs level 6—Composite and Literacy scores of 5.0 or higher—the state refers to as “Formerly LEP;” we think of them as Monitor status) and are either in Exit Year 1 (Monitor Year 1) or Exit Year 2 (Monitor Year 2) status

·  Once a student has been in Service Code 3 for 2 years, please remove their ESL information

o  Service code status under the General tab

o  Access for ELLs information that remains under the SDU Data Entry tab

·  Scroll to the very bottom and click “Submit”

Entering Access for ELLs Information

In PowerSchool

·  Log into PowerSchool

·  On the Start Page, enter the name of the student you need to work with and hit enter

·  In the left-hand column under Information click on State/Province – VA

·  Click on the eighth-tab from the right—SDU—Data Entry and scroll down to almost the bottom

·  Click on ELL Test Tier and choose either “A”, “B”, or “C”

·  For ELL Composite Score, convert the number to a two-digit number (e.g., 3.4 becomes 34)

·  For ELL Literacy Score, again convert the number to a two-digit number (e.g., 2.6 becomes 26)

·  Scroll to the very bottom and click “Submit”

Entering W-APT Information

In PowerSchool

·  Log into PowerSchool

·  On the Start Page, enter the name of the student you need to work with and hit enter

·  In the left-hand column under Information click on State/Province – VA

·  Click on the eighth-tab from the right—SDU—Data Entry and scroll down to almost the bottom

·  For a new student that has the W-APT enter that score where it says “ELL Composite Score” and convert the number to a two-digit number (e.g., 3.4 becomes 34)

·  Scroll to the very bottom and click “Submit”

Creating and Saving A List of ESL Students

in Stored Selections in PowerSchool

·  Log into PowerSchool

·  At the Start Page, View Field List

·  Scroll down to VA_LEP_Serv_Cd (the number can change) and click on it

·  It appears in the box

·  Type >0 and click on the magnifying glass

·  You now have a list of students

·  Click on the down arrow beneath “Select a function for this group of students”

·  Choose “Save Stored Selection”

·  Type in a New Name, be sure “SAVE the current selection with a new name” is selected and click “Submit”

·  You now have a stored selection; you may want to publish it so other people can see it besides you

·  Go to the Start Page

·  Click on Stored Selections

·  Click in the box beside the name of your stored selection and click on the radio button above that says “PUBLISH all checked selections for other users”

·  Click Submit

·  At the Start Page, you should be able to now click on Stored Selections and have the name of your selection appear

Populating the VA School Entry Date Field

in PowerSchool

(for Administrative Assistants)

·  Log into PowerSchool

·  On the Start Page, query the ESL students in your school

·  The Current Selection will now be the list of ESL students at your school

·  Choose the first student, and in the left-hand column under Information click on Custom Screens

·  Choose ESL

·  Populate the VA School Entry Date field – (Format: mm/dd/yyyy)

·  Click on “Submit” to save

·  Continue this process until you are finished with all the ESL students

·  This VA School Entry Date can be found in STAR – the old Student Information System – in Student Auxiliary or on page 6 of the Student Registration Form (see next page)
