Voluntary Services Coordinator

Director of HR and Voluntary Services

OVERALL JOB PURPOSE: To be responsible for the operational management and development of volunteer services to ensure the provision of a professional service in line with the Hospice strategy and key objectives.
KEY RESPONSIBILITIES:
Recruitment Turnover
  • To promote volunteer recruitment as necessary to ensure the Hospice has the appropriate number and skill mix of volunteers to meet the business plan. Liaise with other bodies (e.g. Volunteer Centres,local press, etc)as appropriate. Analyse effectiveness of recruitment media.
  • To ensureappropriatevolunteerrole descriptions are compiledin consultation with Team Leaders
  • To interview, assess and place volunteers according to their skills and experienceensuring appropriate checks are undertaken and procedures implemented. Coach others to undertake this role (i.e. volunteer recruiters and Team Leaders).
  • Oversee work experience placements.
  • To ensure appropriate procedures for monitoring and managing the exit of volunteers from the organisation exist and identify appropriate action if problems occur

Training & Orientation
  • To supportTeam Leaders to assess volunteers’ need for training and support and assist in the identification of appropriate development solutions liaising with the Training & Development Coordinator as appropriate
  • To coach and train Team Leaders to manage their volunteers effectivelywith the support ofthe Training & Development Coordinator as required

Support & Communication
  • To be visible as a contact point for volunteers within the Hospice working alongside Team Leaders who are responsible for the management of volunteers within their teams
  • To coordinate meetings/events for volunteers on a business/social basis working in conjunction with Team Leaders
  • To ensure that volunteers are madeaware of relevant policy, procedures and standardsby their Team Leaders and Voluntary Services (ie at orientation, regular meetings and review)
  • Ensure volunteers receive regular communication and updates on Hospice news and review communication methods on an ongoing basis to ensure effective e.g. Volunteers Forum

Management
  • To supervise/managethe Voluntary Services Assistant and Voluntary Services volunteers to include providing regular direction and feedback (regular supervision and appraisal for paid member of team).To support Team Leaders to take all necessary steps to maintain competent performance in volunteer roles, supporting Team Leaders to manage volunteer relations issues
  • To manage volunteer issues arising from reorganisation of services, new iniatives and organisational change.

Corporate Volunteering
  • To keep abreast of Hospice needs for corporate volunteers and provide professional advice to the Corporate Fundraising Manager who is the main point of contact for companies seeking to set up individual or group volunteering projects.

Management Information
  • To produce regular reports/information as required and support the Director of HR in the development of the Volunteer Strategy. To oversee and develop the computerised volunteer database ensuring it meets organisational requirements.
  • To initiate the production of letters, flyers, posters and leaflets as requiredliaising with Fundraising as appropriate.
  • To be aware of Health & Safety responsibilities, appropriate use of equipment and fire regulations

Financial
  • To monitor the Annual Voluntary Services budget

Strategy & Policy
  • To contribute to the development and assist in the implementation of the HOSF strategy on volunteers
  • To develop policies, procedures and documents relating to volunteers as appropriate
  • Attend and advise committee meetings on volunteers issuesi.e. Staff and Volunteers Committee
  • To maintain an awareness of national and local developments in volunteering and advise the Hospice as appropriate
  • To attend and host regional meetings of Volunteer Managers
  • Attend conferences and training courses as appropriate

DIMENSIONS:

Manages a small budget of £3,000

  • Manages 1 Administration Assistant and volunteers within the Voluntary Services Team
  • Hospice has over 1000 volunteers

RELATIONSHIPS:
  • Works closely with the Senior HR Officers who are responsible for strategic volunteer
    issues together with the Director of HR and VS
  • Team Leaders and volunteers
  • VS Administrator and VS volunteers
  • Voluntary Services Coordinators/Managers in other organisations
  • External volunteering bodies
