Importing Single Assignment Scores into Gradebook

Teachers can now import assignments scores into the Skyward gradebook from other sources. This means that assignments that were graded in Blackboard, ExamView (with the online option, CPS clickers, or plain paper scanning), or any other program that allows grades to be exported as plain text, Excel, or .csv files. This will speed up the transfer of grades into Skyward and should reduce errors associated with manual entry.

The process involves uploading scores from one or multiple assignments. Scores will need to be copied and pasted into the pre-made template but that is not difficult to do.

Step 1 – Create the assignments in Skyward (required for either option)

1.  The assignments need to be created in Skyward. Assignments cannot be imported into Skyward only scores for assignments.

2.  The assignment name in Skyward does not have to match the assignment name in the source (ExamView Test Manager, CPS, etc.). The teacher just needs to know what assignments in Skyward match up with the assignments in the source.

Step 2 – Export the source files.

Exporting from ExamView Test Manager

1.  In ExamView Test Manager highlight an assignment to download. Only one assignment at a time can be downloaded from EV manager.

2.  File> Export> Assignment Results as Text

3.  In the export options, these items only must be selected: Last Name, First Name, Student ID, Scores.

Field separator is “Comma” and the “Insert quotes around fields” is checked.

5.  Click OK to download file.

6.  Save the file to your U:drive. Be sure to name the file with the assignment’s name.

7.  Once the file has been downloaded, open with Excel.

8.  FileàOpen and find the text file. (you’ll need to change the file type to All Files from All Excel Files)

9.  There will be a dialog box. Be sure that Delimited is selected. Click Next.

10.  On the next page select Comma and uncheck any other Delimiter types. Click Finish.

11.  File>Save As > CSV (Comma delimited)

12.  Repeat with the next assignment. Results can be combined into one file as you go along.

Exporting from CPS

1.  Click on the Report tab, and then Gradebook.

2.  Select the correct class in the Roster dropdown.

3.  Click the Export button.

4.  Your data for this class will be immediately opened in Excel. You will see more information than you need, but that’s fine.

5.  Save this file to your U:drive as a csv file the same way as described for ExamView above.

Exporting from Blackboard

1.  Open the class. Control Panel>Evaluation> Grade Center

2.  Click Work Offline and then select Download.

3.  In Section 1 you can select either Full Grade Center or you can select an individual assignment.

4.  In Section 2 select Tab (note this is not Comma for Bb) as the delimiter type and No for include hidden information

5.  In Section 3 select My Computer

6.  Click Submit

7.  On the Next Page click the Download button. You will be asked if you want to Save to your computer or open with Excel. Either option should work.

8.  If you open it directly be sure to do a Save As and put it where you can find it.

Step 3: Upload Scores into Skyward

One you have downloaded the scores, you are ready to upload.

1.  Log into Skyward and open the class where you want to import scores.

2.  Hover over the Assignments tab. You will see two choices for importing assignments scores.

  1. Import Assignment Scores – use this option to import assignment scores one assignment at a time. This works best with ExamView Manager assignments because the formatting is identical

**If you click on the Assignments tab and open it, you will need to use the back key. Import options are only available from the hover menu.

3.  Click on the hover menu option “Import Assignment Scores”. This screen will appear.

4.  By default it will show only assignments that have past the due date and have not been graded. Use the check boxes to show other options. Imported scores will overwrite existing scores. However if there are existing scores Skyward and no scores for those students in the import file, then the Skyward scores are preserved.

5.  Select the assignment you want to score by clicking on it. This opens the import screen.

6.  The file format must look like this (column headers are not required) This is the exact format that is exported from Examview Manager, so you will not have to make any changes to it. Click Browse to locate the .csv file for the assignment you selected.

7.  Click Import Scores when you are ready to import the scores.

8.  You will see a preview. Your students do not have to be in the same order as they are in the Skyward gradebook. The scores will be matched by user ID. Notice that Jane Example is is lined out. This means is no longer active (enrolled) in the class. No score will be imported for her. If the scores are correct, click “Use Imported Scores”. This will import the scores and return you to the assignment section of the gradebook so you can add special scores, comments, etc. Be sure to save the assignment in Skyward.
