As a Administrator you will be providing a key supporting role to Managers and Offender Managers within the Swansea Office, although you may be needed to provide support in other offices during periods of leave/absence.
This role will include arranging and supporting meetings and therefore the ability to take minutes is essential. You will have good communication, written and numeracy skills, the ability to prioritise and problem solve as well a good understanding of a range of IT systems.
Job purpose:
To contribute to the overall performance of Wales Community Rehabilitation Company by the provision of administrative and other support services.
Key accountabilities:
  1. Provide a full range of proactive administrative support to the LDU/ Department, as directed by the Team Manager
  1. Undertake specific administration duties, including preparing letters, minute-taking and filing.
  1. Make effective use of office and computer based equipment to produce a range of documentation and correspondence.
  1. Co-ordinate the operation of the diary system for offenders under supervision by the Unit.
  1. To accurately create, update and maintain data and offender records, ensuring the security and integrity of data, processing a wide variety of reports and presenting statistical information,
  1. To accurately record and process timesheets, expenses forms, sickness and leave records, as directed by the Team Manager
  1. As required, balance petty to the Imprest balance and to maintain a record of such balances for approval by the Team Manager
  1. To communicate effectively with,and process information from, internal and external stakeholders/ agencies,ensuring the effective flow, accuracy and relevance of information held.
  1. Undertake fire safety duties, and assist with the completion of health & safety checks and work place audits, as required.
  1. Develop effective working relationships with all relevant internal and external colleagues.
  1. Provide reception cover as and when required.
  1. Provide support for accredited programmes or similar when required.
